Partner with the Head of Liquid AI and leadership team to provide executive support, operational coordination, and organizational support across one of Circana’s fastest-growing teams. This role combines executive support responsibilities with program and operational coordination, helping improve visibility, collaboration, and execution across the organization. The successful candidate will support leadership by coordinating key activities, maintaining operational processes, driving follow-up on priorities, and helping the organization scale effectively. Job Responsibilities Provide high-level administrative support to the Head of Liquid AI and leadership team. Manage complex calendars, meeting scheduling, travel arrangements, expenses, and executive communications. Coordinate leadership meetings, team events, off-sites, and cross-functional working sessions. Build strong relationships with senior leaders, stakeholders, and business partners. Maintain professionalism, discretion, and confidentiality in all interactions. Operational Coordination & Organizational Effectiveness Coordinate team operating rhythms, meeting cadences, governance activities, and communication processes. Facilitate leadership meetings by documenting decisions, tracking action items, and monitoring follow-through. Maintain visibility into key priorities, deliverables, dependencies, and commitments across teams. Partner with stakeholders across Product, Technology, Client Success, Sales, Marketing, Legal, and other functions to support cross-functional initiatives. Support onboarding activities by maintaining onboarding materials, training plans, and documentation. Identify opportunities to improve processes, communication, and coordination across the organization. Serve as a central point of coordination for leadership initiatives and team activities. Program Support & Execution Coordinate cross-functional projects and initiatives involving multiple stakeholders. Maintain project trackers, status reports, action logs, decision records, and team documentation. Monitor project timelines and follow up on deliverables to support successful execution. Support collaboration between teams by helping identify dependencies, risks, and potential roadblocks. Assist with operational activities related to team growth, onboarding, communications, and organizational planning. Process & Documentation Management Develop and maintain process documentation, team resources, operating procedures, and knowledge repositories. Maintain records of key decisions, approvals, and organizational communications. Support management of SharePoint sites, distribution lists, team calendars, and collaboration tools. Help standardize documentation and communication practices across the organization. Recommend process improvements that increase efficiency and effectiveness. Requirements 5+ years of experience supporting senior executives, leadership teams, or business functions. Experience coordinating projects, programs, or cross-functional initiatives. Strong organizational, communication, and documentation skills. Demonstrated ability to manage multiple priorities and drive follow-through in a fast-paced environment. Experience supporting stakeholders across multiple functions and levels of an organization. Strong executive presence, judgment, professionalism, and discretion. Ability to influence and coordinate activities without direct authority. High proficiency with Microsoft Office, Teams, SharePoint, and related collaboration tools. Experience creating and maintaining process documentation, trackers, and operational workflows. Flexibility to support global stakeholders as business needs require. Preferred Qualifications Experience supporting leaders within technology, AI, analytics, consulting, or high-growth organizations. Experience in executive support, program coordination, project support, business operations, or PMO environments. Experience with Concur, DocuSign, Adobe, SharePoint, and workflow management tools. Experience working with geographically distributed and global teams. The range below reflects the range of possible compensation for this role at the time of posting. Circana may ultimately pay more or less than the posted range, which may be modified in the future. An employee’s position within the range will be based on several factors, including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, shift, travel requirements, and business or organizational needs. The hourly pay range for this role is $43.00 to $52.00 USD per hour .
