Executive Assistant to the Director of Athletics CALVERT HALL IS CURRENTLY SEEKING AN EXECUTIVE ASSISTANT TO THE DIRECTOR OF ATHLETICS FOR THE 2026-2027 SCHOOL YEAR Calvert Hall College High School, a Catholic and Lasallian college preparatory school, provides a diverse community of young men with a broad and balanced human and Christian education through excellent academic and extracurricular programs that promote leadership, achievement, and service within the church and community. Overview The Executive Assistant to the Director of Athletics supports the daily operations of the Athletics Office and the Director of Athletics. Responsibilities include managing general office tasks such as answering phones, managing calendars, ordering supplies, maintaining budget and receipt logs, and overseeing the athletics website. This role serves as the first and primary point of contact for students, faculty, and parents, and assists with communication coach communication.

HOURS AND COMPENSATION

This hourly part-time position runs during the school year, from the last week of August through the first week in June. Hours are 7:30‑2:30. The position qualifies for partial tuition remission (60%) and paid school staff holidays. The annual base salary for this ten‑month position is between $29,000 and $31,000.

ESSENTIAL FUNCTIONS

Greet students, faculty, staff, and visitors warmly and professionally; determine the nature of their visit and direct them appropriately. Provide administrative support to the Director of Athletics, including managing calendars and correspondence. Coordinate department calendars and coordinate with overall school calendars. Answer and screen telephone calls and emails; provide accurate information or route calls/emails, accordingly, demonstrating knowledge of school policies and contacts. Order and maintain office supplies for the Athletics Department. Maintain budget spreadsheets, manage budget reconciliation, and handle monthly credit card reports and invoice processing with the Business Office. Organize and maintain filing systems and office procedures. Manage MIAA roster submission. Provide assistance to the athletic director in organizing seasonal coaches' meetings. Receive, transcribe, and deliver messages to students and staff. Maintain a professional environment within the Athletics Office; supervise students working at the conference table. Perform additional tasks as assigned, such as organizing, labeling, and alphabetizing materials.

REQUIRED EDUCATION AND EXPERIENCE

High school diploma and a minimum of 6 years of work experience - or – college degree and a minimum of 2 years of work experience Track record that demonstrates success and work stability Any equivalent combination of education and experience Customer and personal service; includes assessment of customer needs, meeting quality standards for services, and evaluation of customer satisfaction Administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures Active listening and negotiation skills. Excellent oral and written communication skills and ability to serve the public in a diplomatic and efficient manner Ability to solve problems and exercise mature and discreet judgment. Professional and courteous demeanor Exercises logic to identify strengths and weaknesses of alternative solutions to determine the best plan of action with the customer. Ability to prepare routine reports as requested. Ability to organize, manage time, and set multiple priorities to ensure accomplishment of assigned tasks within established deadlines. Ability to recognize and communicate issues and roadblocks. Ability to adhere to departmental schedules. Ability to work independently and ask questions or seek assistance when necessary. Ability to recognize process improvements and ability to implement changes. Models professional and ethical standards when dealing with students, parents, peers and members of the community. Ability to edit routine correspondence for spelling and grammar. Knowledge and ability to use standard office machines and equipment. Computer skills, including experience with Microsoft Office Suite, including Excel. Ability to learn new skills. Ability to effectively work with others.
