HOA Community Manager Assistant

We are seeking a highly organized and detail-oriented HOA Community Manager Assistant to support our management team and help ensure smooth day-to-day operations for multiple homeowners associations.

Hours: 8:00 AM – 4:30 PM

Key Responsibilities

Management Support Duties:

Answer and field phone calls when Managers are out of the office, ensuring homeowners and Board members always reach a live, helpful contact
Assist walk-in homeowners with various requests in the Manager’s absence
Process mailings (copying, folding, stuffing, and postage)
Send out bid requests and follow up on submissions
Issue work orders as needed
Prepare and send violation letters, hearing notices, and hearing result letters
Manage pool keys and parking passes, including inventory and ordering
Issue Insurance Certificates and track policy expiration dates (maintain tracking spreadsheet)
Send Welcome Packets to new homeowners
Maintain meeting minute books (electronic and physical copies)
Complete weekly filing for each HOA

Ideal Candidate

Strong organizational and multitasking skills
Excellent communication and customer service abilities
Detail-oriented with strong follow-through
Proficient in basic office software and document management
Ability to handle sensitive information with professionalism
