Operations Documentation Compliance Coordinator

Job Description The Operations Documentation & Compliance Coordinator is responsible for developing, maintaining, and improving operational documentation, including Standard Operating Procedures (SOPs), Safety Data Sheet (SDS) management, work instructions, visual aids, and process documentation. This position works closely with Operations, Quality, Safety, Purchasing, and Management teams to ensure procedures are accurate, compliant, and effectively communicated to employees. The ideal candidate is highly organized, detail-oriented, and capable of translating operational processes into clear written procedures and visual documentation. Essential Duties and Responsibilities Documentation Management Create, revise, and maintain Standard Operating Procedures (SOPs), work instructions, forms, and operational documentation. Ensure all documentation follows company standards for format, version control, and approval processes. Conduct periodic reviews of documents to ensure accuracy and compliance. Maintain electronic and hard‑copy document control systems. SDS & Compliance Management Maintain and organize Safety Data Sheets (SDS) for all applicable products and chemicals. Ensure SDS records are current, accessible, and compliant with OSHA Hazard Communication requirements. Coordinate with suppliers and vendors to obtain updated SDS documentation. Assist with product labeling and regulatory documentation as needed. Visual Aids & Process Documentation Develop visual work instructions, process flowcharts, diagrams, training materials, and job aids. Create product drawings, process illustrations, and operational reference materials to support employee training and productivity. Collaborate with operations personnel to document workflows and identify process improvement opportunities. Assist in developing presentations and training materials for operational initiatives. Operations Support Work with department leaders to document new processes and operational changes. Assist with audits, inspections, and compliance reviews by providing requested documentation. Participate in continuous improvement projects and process standardization efforts. Support training initiatives by ensuring procedures and instructional materials are current and effective. Qualifications Associate's degree or Bachelor's degree preferred in Business Administration, Operations Management, Engineering, Technical Writing, or related field. Minimum of 2 years of experience in document control, operations support, quality systems, technical writing, or a related role. Experience creating SOPs, work instructions, process documentation, or training materials. Familiarity with SDS management and OSHA safety requirements preferred. Experience using Microsoft Office Suite, particularly Word, Excel, PowerPoint, and Visio or similar diagramming software. Experience with Adobe Acrobat, AutoCAD, SolidWorks, Canva, or similar design/documentation tools is a plus. Knowledge, Skills, and Abilities Strong technical writing and document management skills. Excellent organizational and project management abilities. Ability to create professional visual aids and process diagrams. Strong attention to detail and accuracy. Ability to communicate effectively with employees at all levels of the organization. Ability to manage multiple projects and deadlines simultaneously. Strong analytical and problem-solving skills. Physical Requirements Ability to sit, stand, walk, and use a computer for extended periods. Ability to occasionally visit warehouse and operational areas to observe processes and gather information. Ability to lift up to 20 pounds occasionally. Work Environment Primarily office‑based with periodic visits to warehouse, manufacturing, or operational areas.
