Brokerage Operations Coordinator

Job Description About the Role We are a commercial real estate team looking for an organized Brokerage Operations Coordinator. This position sits at the center of our business, connecting our brokers, our clients, and our back office production team. Your main job is to keep multiple time-sensitive projects on schedule. You will manage the daily workflow of our production team to ensure all property valuations (BOVs) and marketing packages (OMs) are completed accurately and on time, while coordinating business operations with the brokerage team and clients. This position is designed for an autonomous operator who wants to step out of a highly specialized corporate silo and into a role with direct visibility. Core Responsibilities Pipeline Management: Manage back office pipeline deadlines, coordinate production milestones from project kickoff through delivery, and ensure the team meets all marketing launch dates. Team Communication: Act as the main point of contact between the brokers out in the field and the production team in the office. Quality Control: Review all marketing materials, valuations, and contract documents for accuracy before they are sent to partners or clients. Transaction Coordination: Monitor escrow timelines, follow up with title companies and institutional buyers for missing documents, and flag delays to the brokers early. Client Interface: Maintain professional and proactive communication with clients to gather necessary data and provide project updates. Team Operations Project Management: Manage and execute projects to improve team execution, refine back office tracking templates, and streamline internal software tools. Required Skills Time Logic: The ability to look at multiple projects and understand exactly how a delay on one task impacts the final deadline. Professional Communication: The ability to work firmly but diplomatically with different personalities, from analytical staff to demanding third parties.
