Production Project Coordinator

Position Overview
The Production Project Coordinator is responsible for coordinating all planning activities related to bottling, canning, and production workflow within our winery. This role ensures efficient operations by managing schedules, communicating with internal teams, customers, and suppliers, providing administrative support to ownership and management, and overseeing the logistical and administrative components of each project from planning to invoicing. The ideal candidate is highly organized, detail-oriented, and experienced in wine production environments.

Key Responsibilities:

Production Scheduling & Coordination
•  Develop, publish, and manage bottling and canning schedules for the operations team.
•  Maintain the master production calendar and proactively adjust schedules as changes arise.
•  Coordinate closely with winemaking, operations, and logistics teams to ensure alignment on production timelines.
•  Create and distribute weekly production forms to the bottling/production team.
•  Create production meeting notes and maintain the rolling two-week schedule.
•  Review case stickers for accuracy prior to each bottling run.
Customer & Contract Management
•  Serve as the primary point of contact for customer inquiries related to production, scheduling, and logistics.
•  Manage the full lifecycle of bottling and canning orders—including preparing quotes, drafting contracts, confirming details, and issuing final invoicing requirements to Accounting team.
•  Ensure all customer requirements and specifications are clearly communicated and documented.
Dry Goods, Logistics & Vendor Coordination
•  Prepare and distribute detailed dry goods requirements and delivery schedules.
•  Coordinate inbound deliveries to ensure materials are on-site and ready ahead of production runs.
•  Manage customer storage needs, including bulk and case goods inventory.
•  Oversee the shipment of finished products, ensuring accurate documentation and timely delivery.
•  Communicate directly with suppliers and vendors on orders, delivery timing, and issue resolution.
Internal Alignment, Reporting & Administrative Support
•  Facilitate clear and professional communication across departments, including ownership, peers, and production staff.
•  Provide regular updates and reports to operations leadership on schedule status, risks, and changes.
•  Work closely with Accounting to monitor invoicing, track revenue, and ensure production plans align with financial targets.
•  Update the quarterly production schedule and summarize monthly production numbers for management.
•  Provide general administrative support to the management team as needed.
•  Research and gather information to support projects and broader business initiatives as needed.

Qualifications
•  Minimum two (2) years of Wine industry experience is required (production, operations, bottling, planning, or related role).
•  Strong analytical skills with the ability to interpret data, identify constraints, and recommend solutions.
•  High proficiency in Microsoft Excel and Word; familiarity with Innovint is a plus.
•  Exceptional organizational skills and attention to detail.
•  Strong written and verbal communication skills, with the ability to interact professionally with customers, peers, and ownership.
•  Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
•  Problem-solver with a proactive mindset and a commitment to continuous improvement.

Additional Information
•  Full-time position.
•  On-site role within a production environment.
•  Occasional overtime may be required based on production needs.
•  Pay Range: $35.00 to $45.00 per hour, based upon experience.
