Staff Assistant

Primary Function

The Staff Assistant provides organized, responsive administrative support to the Central Sales team supporting Walmart and Sam's Club. This role is responsible for ensuring smooth day-to-day office operations through calendar management, travel coordination, meeting support, supply management, and general administrative assistance. The ideal candidate is dependable, detail-oriented, customer-service focused, and able to effectively manage multiple priorities in a fast-paced business environment.

Duties & Responsibilities

• Provide administrative support to two Directors, including calendar management, travel arrangements, and expense report processing.
• Coordinate meetings, conference rooms, and audio-visual logistics.
• Answer and direct incoming phone calls and manage visitor access through office communication systems.
• Support onboarding activities for new team members.
• Assist with team events, employee recognition programs, and departmental initiatives.
• Maintain office supplies by ordering, tracking, and restocking inventory as needed.
• Serve as a point of contact for internal stakeholders and handle sensitive or confidential information with discretion.
• Identify opportunities to improve administrative processes and increase team efficiency.
• Maintain organized records, schedules, and office documentation.

Skills & Qualifications

• High school diploma or equivalent required.
• Previous experience in an administrative assistant, office coordinator, customer service, sales support, or similar office support role.
• Strong organizational and time management skills.
• Exceptional attention to detail and accuracy.
• Effective verbal and written communication skills.
• Ability to manage multiple tasks and changing priorities in a fast-paced environment.
• Strong interpersonal skills and a customer-service mindset.
• Demonstrated ability to maintain confidentiality and exercise sound judgment.
• Proficient with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
• Ability to work independently and collaboratively within a team environment.

Education & Experience

• High school diploma or equivalent required.
• Prior administrative, office support, coordinator, customer service, or sales support experience preferred.
• Experience supporting managers, directors, or professional teams is preferred.
• Experience coordinating meetings, travel arrangements, and office operations is a plus.
