Administrative Assistant II

FLSA Status: Non-Exempt

Reports To: School Principal

Supervises: None

Employment Terms: 12-Month Full-time Position (260 Contracted Days)

Grade: C/G3

Position Summary

Performs intermediate skilled administrative support work serving as primary clerical support to the principal and staff, serving as receptionist and telephone operator, preparing and maintaining files and records, assisting students and parents, and related work as apparent or assigned. Work is performed under moderate supervision of the School Principal.

Essential Functions

  • Assist school administration with scheduling, writing correspondence, processing discipline reports and various other clerical duties.
  • Answers telephone, processes mail, meets the public and provides information.
  • Contacts and coordinates with substitute teachers or otherwise arranges for supervisory coverage of classrooms in the event of a teacher's absence.
  • Maintains school staff attendance records; submits monthly reports to the central office.
  • Makes daily announcements, both written and verbal over public address system.
  • Creates and maintains various school documents and forms.
  • Manages the school's on-site fire alarm and emergency alert system.
  • Assists with maintenance service requests.
  • Arranges and organizes conferences; assists in the setup of conference room.
  • Maintains and monitors lost and found and confiscated items.
  • Maintains, organizes, and updates various reports, schedules, and records.
  • Orders and stocks office supplies.
  • Acts in the absence of the School Nurse regarding dispersion of daily prescribed student medication and basic first aid.
  • Assume other duties and responsibilities as may be assigned by the School Principal or appropriate administrator.

Knowledge, Skills and Abilities

  • General knowledge of standard office practices, procedures and equipment.
  • General knowledge of business english, spelling and mathematics.
  • General knowledge of school system routine, personnel procedures and record keeping.
  • General knowledge of basic first aid practices.
  • Skill in the use of computer equipment and related software packages, hardware and peripheral equipment.
  • Ability to develop and follow detailed work procedures.
  • Ability to type accurately and at a reasonable rate of speed.
  • Ability to establish and maintain effective working relationships with associates, students and the general public.

Qualifications, Education and Experience

  • High school diploma or GED.
  • Moderate experience providing general office support and work dealing with the public, or an equivalent combination of education and experience.
  • Such alternatives to the above qualifications as the Board may find appropriate and acceptable.

Physical Requirements

  • This work requires the occasional exertion of up to 10 pounds of force.
  • Work regularly requires speaking or hearing and using hands to finger, handle or feel, frequently requires sitting and repetitive motions and occasionally requires standing, walking, stooping, kneeling, crouching or crawling, reaching with hands and arms and lifting.
  • Work has standard vision requirements.
  • Vocal communication is required for expressing or exchanging ideas by means of the spoken word.
  • Hearing is required to perceive information at normal spoken word levels.
  • Work requires preparing and analyzing written or computer data and observing general surroundings and activities.
  • Work occasionally requires exposure to bloodborne pathogens and may be required to wear specialized personal protective equipment.
  • Work is generally in a moderately noisy location (e.g. business office, light traffic).

Special Requirements

  • Valid driver's license in the Commonwealth of Virginia for the operation of division-owned/leased motor vehicles may be required. The incumbent's driving record will be subject to periodic review and must be acceptable in accordance with the provisions of the Dinwiddie County School Board's policy manual.
  • All candidates must successfully undergo the following pre-employment screenings:
    • Tuberculosis Screening
    • Child Protective Services (CPS) Investigation
    • State Police Criminal History Investigation
    • Federal Bureau of Investigation (FBI)/National Criminal History Investigative Search

Performance of this position will be evaluated in accordance with the provisions of the Dinwiddie County School Board's policy manual.
