Duties

Within this structure, the incumbent performs the following duties:

• Maintain division and administrative files, disseminating directives and publications to appropriate personnel; maintain accurate records of division travel expenditures and travel budget.
• Coordinate multiple requests from higher headquarters and maintain a suspense list for internal program reviews, monitoring programs to ensure timely reporting to upper management.
• Use Microsoft Outlook to maintain e-mail boxes, compose and respond to e-mail; perform administrative tasks including scheduling and file management using standard office software.
• Respond to requests for information via telephone, instant message, or e-mail, serving as a point of contact for internal staff and higher headquarters.
• Prepare division reports and meeting minutes, gathering and assembling required date to ensure timely and accurate submission to management.
• Complete multiple assignments simultaneously under strict or competing deadlines, conducting tasks assigned by the division manager with minimal supervision to ensure projects are completed timely.

Work Schedule: 08:00am to 4:30pm M-F Telework: This position is eligible for situational (ad hoc) telework only. The selectee is required to report to the official duty station each scheduled workday. Telework may be approved only on a case-by-case basis with supervisory approval. Routine or recurring telework is not authorized for this position.
