Job Summary

We are seeking a highly organized and proactive Operations & Executive Coordinator to join our dynamic team. This pivotal role involves managing daily administrative operations, providing executive support, coordinating projects, and ensuring the smooth functioning of office activities. The ideal candidate will demonstrate exceptional organizational skills, proficiency with office management tools, and the ability to handle multiple priorities efficiently. This position offers an excellent opportunity for a motivated professional to contribute to organizational success through meticulous coordination and administrative excellence.

Responsibilities

Financial & Administrative Coordination

  • Assist with accounts payable and receivable processing, invoice management, and payment tracking
  • Maintain accurate financial records and perform regular account updates using QuickBooks
  • Support payroll preparation and reporting activities
  • Organize financial documentation and assist with monthly reporting tasks
  • Monitor outstanding balances and communicate with vendors or clients when needed
  • Help maintain organized records for internal reporting and compliance purposes

Client & Team Support

  • Maintain accurate customer and lead information within CRM systems
  • Coordinate scheduling, follow-ups, and administrative support for internal teams
  • Assist with preparing presentations, proposals, and business correspondence
  • Respond to client inquiries in a professional and timely manner
  • Track project updates, reporting metrics, and workflow progress

Executive & Office Operations

  • Manage calendars, appointments, and meeting coordination for leadership staff
  • Prepare reports, presentations, and internal communications
  • Support office operations, vendor coordination, and supply management
  • Handle confidential information with professionalism and discretion
  • Assist with meeting preparation, note-taking, and follow-up documentation

Qualifications:

  • Associate’s or Bachelor’s degree in Business Administration, Accounting, or a related field
  • Prior experience in a multi-department or small business environment
  • Familiarity with basic HR administrative functions
  • Experience supporting C-suite or senior-level executives
