Contracting Specialist

Job Description Summary Responsible for supporting contracting and subcontracting activities for ship repair projects, yard maintenance, and facility services. Assists in the sourcing, evaluation, administration, and monitoring of subcontractors and service providers. Ensures contract documentation is properly prepared, maintained, and updated. Coordinates with internal departments and external contractors to support project and operational requirements. Monitors contractor performance, compliance, and completion of assigned work scopes. Supports the Contracting Supervisor in ensuring contracts and subcontracted services are delivered in accordance with company requirements, project schedules, safety standards, and budget objectives. Assist in reviewing contract requirements, technical specifications, scopes of work, and service requirements for ship repair and maintenance projects. Prepare, process, and maintain contracts, service agreements, amendments, and related documentation. Ensure contract records and files are complete, accurate, and up to date. Assist in preparing bid documents, requests for quotations, and tender packages for subcontracted services. Coordinate with contractors and vendors to obtain quotations and proposals. Support the evaluation of bids and provide recommendations based on technical, commercial, and operational requirements. Maintain and update the approved list of subcontractors and service providers. Monitor contractor compliance with contractual obligations, safety requirements, and project schedules. Assist in tracking contractor performance, work quality, and service delivery. Coordinate subcontracting activities with project managers, production teams, and other departments. Support contractor mobilization, work progress monitoring, and completion of project requirements. Assist in processing contract variations, change orders, and additional work requests. Prepare and submit reports on contract status, contractor performance, and contracting activities. Ensure compliance with company policies, contractual obligations, safety regulations, and applicable industry standards. Escalate contract-related issues and concerns to the Contracting Supervisor as required. Support continuous improvement initiatives by recommending enhancements to contracting processes, documentation, and contractor management practices. Perform other duties as assigned by the Contracting Supervisor or Management. Regular work hours are 0700H to 1600H (Monday to Friday), with a minimum of 40 hours per week. Flexibility to work beyond regular hours, weekends, and holidays may be required to support ship repair operations, contractor mobilization, project schedules, and other operational requirements.
