Grant Manager Florida Polytechnic University is seeking a dedicated Grant Manager to oversee a diverse portfolio of grant projects throughout the lifecycle, from proposal preparation to project closeout. The role requires exceptional project management, organizational skills, and a deep understanding of grant compliance across federal, state, and local funding levels. Job Summary The Grants Manager will manage all stages of the grant lifecycle, including proposal development, budget creation, contract implementation, award setup, invoicing, payment applications, reporting, and close-out. Responsibilities include researching new funding opportunities, assisting faculty and principal investigators (PI) in proposal development, monitoring compliance, facilitating amendments, submitting financial reports, and completing closeout activities. Responsibilities Manage all stages of the grant lifecycle from proposal development to closeout. Research and identify new funding opportunities aligned with the University’s mission. Assist faculty/PI in developing, preparing, and submitting grant and contract proposals. Monitor and facilitate the proposal process through routing and institutional signature compliance. Establish new grant awards in the Enterprise system and determine appropriate protocol and research assurances (e.g., IRB, IACUC, Biosafety). Lead kick‑off meetings for awarded grants to align stakeholders and set expectations. Conduct ongoing reviews, reconciliations, and projections of award expenditures; prepare adjustments, corrections, and internal budget transfers. Prepare financial reports as required by sponsors. Submit purchase and/or requisition requests on behalf of PIs following internal policies. Provide regular reports to PIs reviewing and confirming monthly transactions and payroll charges. Initiate and submit requests for No‑Cost Extensions (NCEs), carryover, re‑budgeting, changes in scope, and other award changes. Coordinate legal review of documents and obtain authorized signatures as needed. Interact regularly with faculty and staff, providing high‑quality customer service across active grant projects. Remain current on federal and state regulations; monitor upcoming funding sources and opportunities. Process and monitor grant‑funded student worker and graduate assistant positions. Gather information and respond to sponsoring agency or auditor inquiries. Assist with gathering data for reporting requirements and/or progress reports. Prepare documents when grants or contracts are transferred to another university. Complete closeout tasks for projects consistent with established timelines. Perform other related duties as assigned to support the Grants Administration Department. Minimum Qualifications Bachelor’s degree in a related field and/or two or more years of experience in research administration at a higher education institution, or Three (3) years of direct experience in grant development and/or compliance with federal, state, and/or local agencies. Preferred Qualifications Bachelor’s degree plus five (5) years of sponsored research administration experience in a higher education setting or grant‑related field. Knowledge of OMB Uniform Grant Guidance (UGG) compliance requirements. Knowledge of federal agency policies (e.g., NSF, NIH, NASA). Knowledge of the Workday ERP system. Pre‑ and post‑award grant experience. Certifications such as Certified Research Administrator (CRA), Certified Financial Research Administrator (CFRA), Certified Pre‑Award Administrator (CPRA). Knowledge, Skills, and Abilities Demonstrated computer competency and working knowledge of Microsoft Outlook, Word and Excel. Familiarity with grants at federal, state, and local/private agency levels. Effective grant proposal and/or budget development experience with attention to detail. Excellent written and verbal communication skills. Manage multiple projects and deadlines simultaneously, ensuring compliance with internal and external guidelines. Required Licenses, Certifications, and Other Specific Requirements of Law Must possess a valid driver’s license. This position requires a criminal background check and is subject to federal and state privacy regulations. Location & Work Model Full‑time / On‑site Target Hiring Salary $60,000 - $65,000, commensurate with experience.
