Purpose The Senior HR Administrative Associate serves as the primary coordinator for Human Resources administrative operations for the Texas Institute for Electronics (TIE), including recruitment, hiring, onboarding and offboarding, affiliate management, and employee support services. This role functions as a key operational liaison between candidates, employees, managers, University departments, and external partners to ensure efficient, compliant, and customer-focused HR service delivery. Responsibilities Recruitment support Support hiring managers and HR staff throughout the full recruitment lifecycle for staff, faculty, research, technical, and administrative positions. Initiate and submit recruitment requests; manage access to candidate pools; disposition candidates; close recruitments; and collect recruitment‑related documentation. Track recruitment activities and maintain accurate records to support reporting and compliance. Candidate interview management Serve as the primary point of contact for candidates throughout the interview and hiring process, providing clear and timely communication. Develop and maintain interview schedules and candidate itineraries; coordinate interview logistics for hiring teams across multiple locations as needed. Distribute candidate resumes, job descriptions, evaluation forms, and interview resources; track interview activities and maintain associated documentation. Hiring and onboarding Coordinate all new hire onboarding activities, including preparing offer letters, submitting new hire requests, facilitating employee communications, and coordinating access and equipment requests. Track hiring activities and conduct initial welcome and orientation sessions for new employees. Manage onboarding and renewal processes for students, affiliates, contractors, temporary workers, and guests, ensuring alignment with University policies and procedures. Separations and offboarding Coordinate employee separation and offboarding activities, including data tracking, collection of University property, coordination of access removal, and related employee communications. Schedule and support exit meetings, including verbal exit interviews, and document feedback to inform continuous improvement efforts. HR communications and customer service Monitor and maintain the department’s shared Human Resources mailbox and other intake channels. Respond to simple to moderately complex inquiries from employees, managers, and candidates on a wide range of HR topics via email, Teams, and in-person. Collaborate with HR Support Services and other University offices to ensure timely, accurate completion of TIE HR requests, routinely tracking and following up on statuses. Documentation, reporting, and data management Prepare correspondence, reports, and records, form, and other administrative documentation as requested. Prepare and submit weekly staffing reports to TIE leadership. Maintain and distribute the TIE organizational chart using Visio. Track all HR activities in Smartsheet, maintaining data integrity and audit-ready records. Process improvement and compliance support Identify opportunities to improve administrative workflows, standardize procedures, and enhance the candidate and employee experience. Support the implementation of process improvements in collaboration with HR leadership, ensuring consistency with University policies and compliance requirements. Team and event support Provide backup support to the Senior Administrative Associate for Admin & HR and other team members as needed, including working at other locations in town (Montopolis area and/or Pickle Research Campus). Assist in planning and supporting TIE events and initiatives, such as onboarding sessions, workshops, and employee engagement activities. Other duties Assist with special projects, operational initiatives, and other administrative duties as assigned to support TIE’s strategic goals and HR operations. Required Qualifications High school graduation or equivalent. One or more years of progressively responsible administrative, human resources, talent acquisition, recruiting coordination, employee services, or closely related experience. Experience coordinating multiple projects, schedules, and competing priorities simultaneously. Experience delivering customer service and support to a diverse population of stakeholders. Proficiency using Microsoft Office applications, including Outlook, Word, Excel, and Teams. Excellent written, verbal, organizational, and interpersonal communication skills. Demonstrated attention to detail and ability to manage sensitive and confidential information appropriately. Ability to exercise sound judgment, maintain professionalism, and work independently while managing multiple deadlines. Ability to travel to and work at other locations in town when needed. Relevant education and experience may be substituted as appropriate. Preferred Qualifications Bachelor’s degree in Human Resources, Business Administration, Communications, Higher Education Administration, or a related field. Two or more years of experience supporting recruitment, candidate management, interview coordination, employee staffing, or other HR activities. Experience working in the semiconductor industry or with technical/research organizations. Experience working in Workday or a similar Human Resource Information System (HRIS). Experience using Visio and/or Smartsheet for documentation and tracking. Experience working in a higher education, research, government, or other public-sector environment. Knowledge of University of Texas policies, procedures, and administrative systems. Salary Range TIE Pays Industry Competitive Salaries Work Schedule Monday - Friday between 7am and 5:30 pm, position will be onsite daily at our West Pickle Research Campus Location in Northwest Austin. This position may need to travel to or work at our nearby Pickle Campus location or our Montopolis location in Southwest Austin on occasions, such as to cover for staff outages or for meetings. Working Conditions May work around standard office conditions Repetitive use of a keyboard at a workstation Use of manual dexterity (ex: using a mouse) Travel between locations may be required Driving Required This job requires a class "C" operator’s driver’s license. The applicant selected must provide a current three-year driving record from the current state of residence. If not currently a Texas resident, a Texas driver’s license must be obtained within 30 days of becoming a Texas resident. Employees who are required to have a CDL are subject to drug and alcohol testing (pre-employment, post-accident, reasonable suspicion, random, return-to-duty, and follow-up drug and alcohol testing). The driving record will be evaluated to determine eligibility to drive a university owned vehicle.
