Front Desk Receptionist/Administrative Assistant

We are seeking a polished, professional, and highly organized Front Desk Receptionist to serve as the welcoming face of our public accounting firm and ensure smooth front-office operations.
Key Responsibilities:
- Greet clients, visitors, and guests with warmth and professionalism and manage check-in process
- Answer multi-line phone system, screen and direct calls, take accurate messages, and respond to general inquiries
- Schedule client appointments, manage conference room bookings, and coordinate with accountants on daily schedules
- Receive, sort, and distribute mail/deliveries; prepare outgoing shipments (FedEx, UPS, certified mail)
- Maintain a tidy, professional reception area and ensure conference rooms are client-ready
- Assist with basic administrative tasks: scanning, copying, filing, data entry, and preparing client folders
- Handle sensitive client information with absolute discretion and strict confidentiality
- Support tax season overflow (organizing returns, assembling packets, greeting high volume of clients)
Requirements:
- 1–3 years of receptionist or customer-facing experience (professional services environment strongly preferred)
- Excellent verbal and written communication skills; professional phone voice
- Proficient in Microsoft Office (Outlook, Word, Excel) and comfortable learning practice management software
- Exceptional organizational skills and ability to multitask in a fast-paced environment
- Professional appearance and demeanor; reliable, punctual, and positive attitude essential
