What You'll Do:

Pre-Event

● Confirm event details with clients, including sending a written confirmation shortly after signing, and reconfirming two weeks before the event.

● Ensure all load-in and load-out information is received in time for production planning.

● Gather and communicate client changes to the relevant team members, and confirm the point of contact.

● Create and assign internal project tasks for signed events.

● Finalize logistical details including insurance certificates, vendor agreements, and third-party vendor coordination (set/strike, pickup/return).

● Coordinate any required safety or compliance treatments (e.g. fireproofing) and track items through completion.

● Communicate regularly with the creative and warehouse teams, keep shared systems and workspaces updated, and attend production meetings.

● Schedule and conduct site visits as needed, documenting with notes and photos.

● Ensure a detailed client layout is received and distributed, and create/update production schedules and pull sheets in collaboration with the operations and production teams.

On-Site

● Arrive early to check in with the client and lead on-site staff, and confirm placement, layout, and strike time.

● Assist with setup and oversee layout implementation, making adjustments as needed.

● Address client concerns collaboratively with the on-site lead, escalating to the production manager when needed.

● Support and help delegate tasks for the on-site team.

● Maintain clear communication with on-site staff and relay updates between the client and the team.

● Check in with the client before departing to confirm satisfaction and handle last-minute adjustments.

Post-Event

● Submit close-out notes to the team immediately after setup.

● Follow up on the client satisfaction survey sent after the event.

● Develop strong client relationships that create return business.

What We're Looking For:

● Excellent communication and organizational skills with both co-workers and clients.

● Ability to manage multiple events and timelines.

● Strong problem-solving skills and attention to detail.

● Experience in event planning, hospitality, or production is required.

● 4+ Years of Special Events Experience (preferred)
