Safety and Security SpecialistPay Range $43,650-$57,737General SummaryThe Safety & Security Specialist (Central Office Receptionist) reports to the Director of Safety and Security and assists with the district's mission to provide the highest quality of education by providing for the safety & security of all students, staff, and property. This position performs a variety of clerical tasks; and provides customer service, which includes operating switchboard, assisting and directing visitors and clerical work.Essential Duties & ResponsibilitiesProvide professional customer service by answering the Springfield Public Schools Department main telephone line, greeting and signing in visitors, directing guests to appropriate locations, and providing accurate and helpful information.Co-manage the district's CORI, SORI, and fingerprinting processes, ensuring procedures are completed accurately and in accordance with district requirements.Process driver history record requests as needed.Enter and process requisitions and purchase orders through the district's MUNIS financial management system.Review, archive, retrieve, and produce video footage for law enforcement and court related requests.Update the district's Emergency Operations Plan (EOP) annually to support safety and emergency preparedness initiatives.Produce and distribute staff identification badges.Utilize the district's access control system to assign, modify, and maintain building access for authorized individuals.Perform a variety of administrative and clerical duties, including maintaining records, tracking statistics, preparing spreadsheets, monitoring office supplies, and managing incoming calls.Professionally manage interactions with staff, students, families, visitors, and members of the public.Effectively de-escalate and resolve challenging or uncooperative interactions with visitors and callers while maintaining a professional and courteous approach.Provide administrative and operational coverage for the Safety and Security Office as needed.Utilize Microsoft Office applications to complete administrative, organizational, and reporting responsibilities.Demonstrate strong organizational, communication, interpersonal, and problem-solving skills.Attend required staff development programs, training sessions, and professional learning opportunities.Assist with the daily administrative and operational functions of the department.Minimum Job QualificationsBilingual candidate preferred.Requires at least 1-2 years of experience in the field.Relevant associate degree required, or educational requirement may be substituted for at least 3 years of experience in relevant field.Office / Clerical experience preferred.Valid Driver's License.Knowledge, Skills, and AbilitiesKnowledge of Springfield Public School DistrictExperience in working with diverse populationsAbility to develop and write reports, and correspondenceAbility to handle common inquiries or complaintsAbility to respond to questions from students, faculty, staff, and visitorsAbility to define problems, collect data, establish facts, and draw valid conclusionsAbility to exercise good judgment and focus on detail as required by the jobAbility to use (or learn to use) computer software and systems applicable to the positionAbility to collect, organize, and interpret data and prepare accurate recordsAbility to maintain well-organized materials, files, systems and toolsAbility to adapt to changes in work situations and prioritiesAbility to reason/analyze; use logic to identify and resolve problemsAbility to evaluate, organize, and summarize data and informationAbility to establish and maintain constructive and cooperative interpersonal relationships with staff, peers, supervisors, or managers in the work unit and other departments, as well as with staff of outside entities and other individuals, as applicable to the essential duties and responsibilitiesCore Knowledge, Skills, and AbilitiesSkill in utilizing interpersonal skills to relate and interact with a diverse populationSkill in detail oriented planning and able to set priorities, objectives and meet deadlinesAbility to provide positive and effective customer serviceAbility to adapt to and accommodate new methods and proceduresAbility to work independently or as a member of a teamAbility to apply listening skills, work under pressure, address conflict and solve problemsAbility to read, analyze and interpret standard, policies, procedures and regulationsAbility to effectively present information using attention to detail and accuracy Ability to exercise good judgmentAbility to operate standard office equipment, such as a computer keyboard, monitor, copies, scanners, and telephoneAbility to communicate effectively orally and in writingPhysical RequirementsExerting up to 50 pounds of force occasionally, up to 20 pounds of force frequently, and/or or up to 20 pounds of force constantly having to move objects.Working EnvironmentThis position requires employee be in an office, school, and outdoor environment.
