CLIENT SERVICE & SALES COORDINATOR

POSITION TYPE: FULL TIME

TARGET PAY: $26–$29/hour, based on experience and fit

POSITION SUMMARY

Berns Landscaping Services, Inc. is seeking a strong, experienced Client Service & Sales Coordinator who is organized, professional, highly proactive, and exceptionally good at follow-through. This role supports our clients, sales team, and account managers by ensuring leads, appointments, estimates, client requests, records, and follow-up activities are handled accurately and on time.

We are looking for someone who is motivated to succeed and wants to build a long-term career with Berns. This is not a position for someone who waits to be told what to do next. The right person notices what is outstanding, determines the next reasonable action, asks thoughtful questions when something does not make sense, and takes ownership of keeping the client-service and sales process moving.

OWNERSHIP MINDSET

Forwarding an email or passing along a message does not mean the job is finished.
The coordinator follows the issue through until the client receives an answer or the matter is resolved

PRIMARY RESPONSIBILITIES

• Own incoming phone and email communication: identify what the client needs, document it correctly, and ensure it reaches the appropriate person.

• Qualify and document new client inquiries; assign leads promptly and actively follow up when an opportunity has not moved forward.

• Schedule and confirm sales appointments, consultations, client meetings, and follow-up activities.

• Maintain accurate client and opportunity information in Aspire, including contacts, notes, photos, appointments, estimates, follow-up activities, and status updates.

• Maintain a working list of outstanding estimates and proposals; coordinate appropriate follow-up on proposals that have been sent but not accepted or declined.

• Support salespeople and account managers by preparing client history, documents, photos, proposals, appointment information, and schedules so they can focus on selling and serving clients.

• Own administrative follow-through on client questions and concerns until the appropriate team member provides an answer or resolution.

• Send confirmations, scheduling updates, proposal reminders, service information, and requested documents before clients have to ask.

• Identify missed commitments, overdue follow-ups, incomplete records, dropped handoffs, or stalled opportunities; take appropriate action or escalate early.

• Maintain organized client records so authorized team members can understand the account, service history, open items, and important conversations.

• Prepare a concise weekly sales and client-service report showing leads, appointments, outstanding estimates, follow-ups due, unresolved client concerns, and items requiring management attention.

Clients receive timely responses. Salespeople know what needs follow-up. Aspire is current and accurate. Promises made to clients are tracked. Estimates do not sit untouched. Routine responsibilities are completed without repeated reminders. Problems are identified early, before a client becomes frustrated or an opportunity is lost.

REQUIRED SKILLS & EXPERIENCE

• 3+ years of strong administrative, client-service, sales-support, or coordinator experience preferred.

• Excellent written and verbal communication skills.

• Demonstrated ability to manage multiple priorities and deadlines without losing track of details.

• Strong computer skills and the ability to learn business software quickly; CRM or field-service software experience is strongly preferred.

• Comfortable following up professionally with coworkers at all levels when information or action is overdue.

• Professional and confident communicating with clients by phone, email, and text.

• Strong judgment: knows what can be handled independently and what needs to be escalated.

• Accurate documentation, data entry, scheduling, and recordkeeping skills.

PERFORMANCE EXPECTATIONS

• New leads and client requests are documented, routed, and followed up promptly.

• Appointments and follow-up activities are accurately scheduled and confirmed.

• Outstanding estimates are actively tracked through a clear decision or next step.

• Client records and Aspire opportunities remain current and complete.

• Client questions do not disappear into an inbox without ownership and follow-through.

• Weekly reporting is accurate, useful, and delivered on time.

• Recurring responsibilities are completed reliably without repeated reminders from management.

• The coordinator proactively identifies ways to improve organization, communication, and the client experience.
