HR Administrative Assistant

SUMMARY OF POSITION:
This position is responsible for performing routine administrative functions such as drafting correspondence, scheduling appointments, organizing, and maintaining paper and electronic files, or providing information to callers.

ESSENTIAL FUNCTIONS:

• Answer telephones and give information to callers, take messages, or transfer calls to appropriate team members.
• Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs while adhering to necessary security policies concerning facility access.
• Coordinate visitor and meeting logistics, including welcoming guest, notifying hosts, reserving meeting spaces, and supporting meeting needs.
• Create, maintain, and enter information into databases and systems, ensuring accuracy and confidentiality.
• Order and dispense supplies according to expense policy requirements.
• Coordinate ordering of working lunches, celebration meals, birthday treats, engagement activity food, and related decorations or supplies within budget and policy guidelines.
• Prepare learning, communication, engagement or event materials, such as flyers or invitations.
• Support payroll functions, such as maintaining timekeeping information, resetting Kronos passwords, and exporting time information to staffing agencies.
• Arrange conference, meeting, and training for team members as needed.
• Coordinate and facilitate professional development and learning opportunities for plant staff and the Division as needed.
• Participate in new hire recruitment and onboarding to include badge creation and other duties as needed.
• Track new hire follow-up activities, including 30, 60, 90-day check-ins, and communicate outstanding items to appropriate team members.
• Electronically file necessary training and personnel documents related to employment.

DEPARTMENT SPECIFIC/NON-ESSENTIAL FUNCTIONS:

• Work safely in accordance with regulations, standards, and procedures, and in a manner that eliminates unreasonable risk to health and the environment. Notify management of unsafe conditions or practices, unlawful activities and activities which present unreasonable health and/or environmental risk. Report all safety and/or environmental incidents to management immediately.
• Participate in peer-based teams (i.e., Natural High-Performance Teams), and work with groups to initiate and implement programs such as Lean Manufacturing and 5-S.
• Other duties may be assigned.

Education required:

• High School Diploma or GED.

Experience:

• Previous experience in Human Resources and processing payroll for a large population preferred.
• Manufacturing exposure preferred but not required.
