Executive Assistant to the Superintendent

DeKalb ISD Executive Assistant to the Superintendent Official Job Description Purpose: Provide high-level executive and administrative support to the Superintendent and Board of Trustees while coordinating executive office operations, communications, confidential records, board governance support, and special projects. Work independently with discretion and professionalism. Qualifications High school diploma or GED required; associate's or bachelor's degree preferred. Two or more years of progressively responsible executive administrative experience preferred. Excellent written and verbal communication skills. Advanced proficiency with Microsoft Office, Google Workspace, BoardBook, and district software. Ability to manage confidential information, multiple priorities, and complex projects. Primary Responsibilities Executive Support Manage the Superintendent's calendar, travel, correspondence, and executive priorities. Prepare reports, presentations, contracts, and official correspondence. Maintain confidential records and coordinate executive projects. Board Support Coordinate Board meetings, agendas, minutes, BoardBook materials, elections, training, and governance documentation. District Operations Coordinate cross-department projects, district initiatives, and administrative communications. Human Resources Support employment processes, contracts, onboarding, recognition programs, and personnel documentation. Communications Prepare newsletters, public communications, event materials, and maintain positive public relations. Finance & Purchasing Coordinate purchasing, travel, vendor communications, invoices, and budget documentation. Special Events Coordinate district ceremonies, recognition programs, and Superintendent-sponsored events. Compliance Maintain required records, support audits, records retention, and compliance activities. Professional Expectations Exercise sound judgment, maintain confidentiality, provide exceptional customer service, and perform other duties as assigned. Working Conditions Standard office environment with frequent interruptions, prolonged sitting, occasional lifting under 15 pounds, and occasional evening meetings or travel.
