We are seeking a customer-focused Workplace Experience Coordinator to serve as the primary point of contact for employees, visitors, and vendors in a professional office environment. This role is ideal for someone who enjoys creating a welcoming workplace, coordinating office services, supporting facility operations, and managing workplace events. The successful candidate will thrive in a fast-paced setting, balancing multiple responsibilities while delivering exceptional customer service.

Location: Rancho Cordova, CA

Work Schedule: Monday-Friday, 7:30 AM - 4:30 PM

Work Arrangement: 100% Onsite

Contract Length: 5-Month Contract with Potential for Extension

Key Responsibilities

• Serve as the first point of contact for employees, guests, and visitors, creating a positive and professional experience.
• Manage visitor check-in procedures, issue visitor and parking passes, and follow established security protocols.
• Answer and direct incoming calls in a courteous and professional manner.
• Coordinate workplace services, including mail distribution, office supplies, onboarding support, and general office requests.
• Schedule and coordinate meetings, conference rooms, dining reservations, and workplace activities.
• Organize onsite events, including room setup, logistics, vendor coordination, and event breakdown.
• Submit and track janitorial, maintenance, and facilities-related work orders.
• Respond to employee and guest inquiries, concerns, and service requests while providing timely solutions.
• Coordinate with vendors and service providers to support daily workplace operations.
• Assist with conference room management, office moves, and other workplace support activities.
• Follow workplace safety, security, and emergency procedures.
• Adapt to changing priorities and support a wide variety of administrative and workplace functions throughout the day.

Qualifications

• High School Diploma or GED required.
• 2-4 years of experience in customer service, hospitality, workplace services, office administration, reception, or a related field.
• Strong communication and interpersonal skills with a customer-focused approach.
• Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
• Strong organizational, multitasking, and problem-solving abilities.
• Ability to work independently while collaborating effectively with teams and vendors.
• Professional demeanor with excellent attention to detail.

Preferred Experience

• Workplace experience, concierge, hospitality, front desk, facilities, office services, or administrative support experience.
• Experience coordinating meetings, events, vendors, or office operations.
• Comfortable working in a dynamic environment where priorities may shift throughout the day.
