Job Description Title: Front Desk Associate Department: Operations Reports to: Operations Manager Employment Status: Full- Time FLSA Status / Salary: Exempt/ $25 - 25 hours weekly Position Summary The Front Desk Associate serves as the primary point of contact for visitors, callers, staff, deliveries, and routine front-office activity. The role maintains a professional and welcoming reception environment while supporting conference-room readiness, mail and delivery processes, selected Finance administrative functions, and backup check deposits. Essential Duties and Responsibilities Maintain reliable front desk and reception coverage during assigned business hours. Welcome visitors, clients, vendors, partners, and staff; verify the purpose of visits and notify or direct the appropriate staff member. Answer and route incoming telephone calls and provide general organizational information within established guidelines. Manage incoming and outgoing mail, packages, deliveries, courier activity, and related logs. Coordinate conference-room scheduling, room readiness, basic meeting setup, and routine front-office support. Monitor common-area and reception needs and promptly report facilities, safety, supply, or technology concerns to Operations. Support office supply monitoring, receipt of orders, organization of shared spaces, and other routine office functions. Lead the administrative portion of Finance invoicing and accounts-payable support, including receiving invoices, scanning/uploading documentation, routing invoices for required approvals, maintaining workflow records, and following up on missing administrative documentation. Follow Finance procedures and maintain separation of duties: Finance retains accounting coding, approval, payment processing, reconciliation, and financial controls. Serve as backup to the Operations Assistant for check deposits in accordance with IW procedures and internal controls. Provide backup administrative support for selected Operations tasks during periods of high volume or staff absence. Maintain confidentiality and professionalism when handling visitor information, invoices, checks, mail, and internal documents. Perform other front-office and administrative duties as assigned. Minimum Qualifications High school diploma or GED required. At least one year of reception, office administration, customer service, or related experience preferred. Strong interpersonal and customer-service skills with the ability to interact professionally with visitors, staff, and partners. Excellent reliability, organization, attention to detail, and follow-through. Ability to handle checks, invoices, mail, and confidential information with accuracy and discretion. Comfort using Microsoft Office, email, shared calendars, scanners, and routine office technology.
