Health Information Specialist

Job Summary:

The Health Information Specialist I is responsible for processing and managing health information under the direction of the Health Information Management (HIM) Director or supervisor. This role involves handling medical records, ensuring accurate documentation, maintaining confidentiality, and supporting physicians and staff with information requests. The specialist plays a key role in maintaining the integrity and accessibility of patient health information while adhering to HIPAA and hospital policies.

Responsibilities:

Collect, deliver, retrieve, and track hard copy medical records for patient care.
Pick up discharged patient records from nursing units and other departments.
Locate and follow up on missing medical records.
Prepare, scan, file, and quality check medical records and loose reports.
Prepare documents for storage including scanning and boxing; assist with records destruction as needed.
Answer department telephones and direct calls appropriately.
Assist physicians and staff with health information requests.
Log out requested charts to maintain tracking of record locations.
Ensure confidentiality of patient health information in compliance with HIPAA and hospital policies.
Maintain scanning equipment and ensure daily production standards are met.
Adhere to department and hospital policies, including safety and compliance requirements.
Communicate effectively and courteously with staff, physicians, and patients.
Maintain an organized, neat, and safe work area.
Perform other related duties as assigned.

Required Skills & Certifications:

Knowledge of health information management practices and medical records handling.
Understanding of HIPAA regulations and patient confidentiality requirements.
Strong organizational and communication skills.
Ability to operate scanning and filing equipment.
Attention to detail and accuracy in record processing.

Preferred Skills & Certifications:

Previous experience in a healthcare or medical records environment.
Familiarity with electronic medical record (EMR) systems and health information technology.
Basic computer skills including data entry and document management software.

Special Considerations:

Must maintain strict confidentiality and adhere to HIPAA and hospital policies at all times.
Work environment requires handling sensitive patient information with professionalism.

Scheduling:

Standard business hours, Monday through Friday, with shifts assigned based on department needs.
