Job Description Summary The Grants Administrator II will report to the Director of Research Administration in the Department of Surgery to support the department’s academic and research missions. This position will work closely with faculty to provide high level grants administration, cultivate research programming within the Institute of Surgical Sciences, and arrange generalized support to the Department of Surgery. Strong organizational skills, team focus, and attention to detail are essential. The position operates with a high level of autonomy and provides strategic leadership, guidance, and operational oversight to faculty, staff, and departmental leadership to grow and enhance the research portfolio, including cultivating research programming within the Institute of Surgical Sciences and supporting broader departmental initiatives. Emphasis is placed on quality, accuracy, customer service, effective communication, strong organizational skills, and a collaborative, team-focused approach. Entity Medical University of South Carolina (MUSC - Univ) Worker Type Employee Worker Sub-Type Classified Cost Center CC001066 COM SURG Administration CC Pay Rate Type Salary Pay Grade University-GEN10 Pay Range 57,700.00 - 80,800.00 - 103,900.000 Scheduled Weekly Hours 40 Work Shift Job Description Pay Range: $57,700.00 - $80,800.00 - $103,900.00 (min - mid - max) Job Duties: 30% Develop and deliver research resources among faculty affiliated with the Department of Surgery Institute of Surgical Sciences (ISS) - Serve as liaison to Office of Research Development and Office of VP Research to bring University resources to the department - Partner with Vice Chair of Research and departmental leadership to expand the grant portfolio, including identifying barriers and implementing strategies to increase funding success. - Represent research administration at key forums (e.g., Surgeon-Scientist Pathway meetings) and support coordination of departmental research programming. - Create and maintain central source for department-related grant documents, educational materials, tools, and centralized resources (e.g., Facilities, Equipment, and Environment documents) to support proposal development. - Facilitate communication among junior faculty and pertinent mentors to achieve early career grant submissions - Advance Department of Surgery research training initiatives, including the Career Development Advisor Program and serving as program administrator for training grants. 20% Pre Award: Manage the proposal and application process for federal grants in the Department of Surgery - Serve as departmental expert in grants administration, interpreting sponsor and institutional policies (ORSP, GCA). - Serve as a department level expert, maintaining current knowledge of regulations (federal, state, private) to assist faculty, staff and students with application compliance. - Evaluate potential fiscal issues such as cost sharing, F&A rates and possible request waivers. - Coordinate with external consultants, subawardees, or outside departments to prepare and compile all needed documents. Coordinates grant proposals to funding agencies to ensure compliance with policies and regulations. - Prepare complex budgets and assists PI in completing grant application while following proposal guidelines. Create and route application to all departments/personnel for their approval prior to submission. - Review proposals routed to the Department of Surgery for approval or recommends changes needed. Maintain all documentation and record keeping in regard to applications for department. - Recommend and implement process improvements to enhance compliance and efficiency. 20% Pre-Award Leadership and Oversight - Direct and manage the departmental pre-award process and team, including supervision of staff. Train, mentor, and provide oversight to Grants Coordinator(s). - Assign proposals, monitor workloads, and ensure timely and accurate submission of all applications. - Maintain and oversee departmental grant tracking systems for current and pending submissions. - Provide reporting and analytics to departmental leadership. - Ensure timely processing and tracking of MOUs, VA Task Orders, and related agreements - Provide guidance to faculty, fellows, and trainees on grant development and submission best practices. - Disseminate updates on policies, procedures, and institutional best practices. 20% Post Award and Reporting: Manages department grant/contract activities in compliance. - Serve as the department level subject matter expert for award requirements as well as MUSC grant policies and procedures - Prepare the needed documentation for progress reports, extension requests, carryover requests, close outs, cost transfers, rebudget requests, incoming grant transfers from other institutions, and required sponsor financial reporting. - Ensure expenditures and budgets are consistent with state and federal guidelines and MUSC policies and procedures - Coordinate with finance teams to resolve discrepancies - Prepare annualized effort for PI Other Support documents, biosketches, and annualized effort reports for RPPRs - Support award setup, multi-year grants, and subcontracts. - Monitor departmental fee processes, invoicing, collections, and closeouts. 10% Special projects and other duties as assigned in support of the Chair, Director of Institute of Surgical Sciences, and/or the Director of Research Administration. - Maintain, modify, and develop filing system to track data - Participate in research administration work groups, as well as any campus wide training designed for individuals in a research administration role Additional Job Description Minimum Requirements: A bachelor's degree in business administration, public administration or the social sciences and four years experience in contracts and grant administration activities.
