Bookkeeper / Accounting Data Entry Clerk

Qualified Staffing is seeking a detail-oriented Bookkeeper / Accounting Data Entry Clerk to support the accounting function across a multi-division industrial manufacturing and distribution business in West Point, MS. This role is responsible for accurate, timely entry and reconciliation of financial transactions across accounts payable, accounts receivable, and general ledger activity, supporting several divisions. The ideal candidate is highly organized, comfortable with high transaction volume, and thrives in a fast-paced, growing manufacturing environment. The pay for this position starts at $25+ per hour depending on experience.

Key Responsibilities

• Enter vendor invoices, employee expense reports, and other payables into QuickBooks/ERP with correct GL coding, division, and job/cost-center allocation.
• Process customer invoicing and cash receipts; apply payments accurately and promptly across multiple divisions and entities.
• Maintain accurate vendor and customer records, including W-9s, payment terms, and contact information.
• Assist with weekly check runs, ACH/wire preparation, and vendor payment scheduling.
• Track and file supporting documentation (POs, packing slips, signed BOLs, lien waivers) to ensure clean audit trails.
• Support month-end close by preparing account reconciliations, accruals, and journal entry backup as directed by the Accounting Manager.
• Monitor aging reports (AP and AR) and assist with collections follow-up and payment inquiries.
• Maintain organized, accurate digital and physical filing of accounting records in compliance with company policy.
• Provide administrative and clerical support to the accounting/finance team as needed.
• Maintain strict confidentiality of financial and company information

Qualifications

• Associate's degree in Accounting, Business, or related field preferred.
• 1-3+ years of bookkeeping, accounts payable/receivable, or accounting data entry experience; manufacturing or distribution industry experience a plus.
• Working knowledge of QuickBooks required; experience with ERP systems a plus.
• Proficient in Microsoft Excel and Office 365.
• Strong attention to detail and accuracy with high-volume data entry.
• Solid understanding of basic accounting principles (debits/credits, GL coding, accruals).
• Ability to manage multiple priorities and deadlines across several business divisions.
• Strong organizational and time-management skills.
• Trustworthy, discreet, and professional in handling sensitive financial data.
• Good communication skills and ability to work collaboratively with vendors, customers, and internal teams.
