Principal Administrative Specialist

As a Principal Administrative Specialist for the Metro Transit Police Department, you will provide administrative support with limited supervision to ensure the efficient flow of information and communication within the division and throughout the agency. This position is based at the West Command front desk and is responsible for greeting and assisting guests of the Metro Transit Police Department, receiving and routing incoming telephone calls, answering the police department door, distributing incoming mail, assisting with miscellaneous projects, all while maintaining confidentiality and compliant procedures. This position is rated essential and works onsite, Monday - Friday, day hours, and has access to free parking and/or access to free bus/rail transportation.

The Metro Transit Police Department is one of the fastest growing agencies in the state due to the expansion of light rail and Rapid Transit Bus systems. What You Would Do In This Job

• Answer the front desk telephone and door and assist and/or route calls and visitors to appropriate persons
• Open and distributes mail, prepares check and purchase requisitions and maintains division files
• Review and answer correspondence
• Arrange and direct services such as maintenance repair, supplies, mail, and files
• Order and maintain necessary office supplies for print/copy machine areas
• Perform administrative support which regularly requires interpretation
• Develop and coordinate work procedures such as recordkeeping systems, forms control, office layout, to create new systems or revise established procedures
• Responsible for maintaining extensive knowledge of departmental procedures
• Maintain confidential information.
• Other duties and projects as assigned based upon department or Chief of Police needs.

What Education And Experience Are Required For This Job (Minimum Qualifications)

Any of the following combinations of completed education (in Business Administration, Office Administration, or similar) and work experience (in office administration, including customer service):

• High school diploma or equivalent AND at least four (4) years of work experience.
• Associate's degree or higher and at least two (2) years of work experience.

• Degree in law enforcement, corrections, business, or closely related field
• Administrative experience in a police/law enforcement agency
• Experience with project management
• Experience maintaining confidential information

What Knowledge, Skills And Abilities You Should Have Within The First Six Months On The Job:

• Knowledge of a body of standardized regulations, requirements, procedures, and operations associated with clerical and administrative duties related to the assigned support function
• Knowledge of police terminology
• Skills in Microsoft Office Suite of products
• Skilled in typing and transcribing from recordings and in-person
• Ability to perform data entry with efficiency and accuracy
• Ability to perform basic math calculations accurately
• Ability to verbally communicate information clearly and concisely
• Ability to effectively organize tasks and establish work priorities
• Under limited supervision, recognize when assistance or guidance is required to set priorities or redirect workload
• Ability to display independent judgement, initiative, and organization in solving a variety of problems
• Ability to work independently with sensitive and confidential matters
• Ability to review data for detail and accuracy
