Floating Administrative Assistant Job Description Template
Our company is looking for a Floating Administrative Assistant to join our team.
Responsibilities:
- Handle confidential documents and correspondence as needed;
- Track, prepare, and process expense reconciliations, out-of-pocket reports, and invoices;
- Manage calendars, schedule appointments, coordinate with other Assistants, and confirm meetings with clients, investors and colleagues;
- Arrange travel for professionals, including flights, cars, hotels, visas, and other reservations;
- Cover multiple phone lines, communicate with clients and investors as requested, and handle media inquiries appropriately;
- Meet and greet guests; register guests in visitor system;
- Provide backup coverage to Assistants and Reception team when they are on leave;
- Schedule conference rooms for internal and external meetings; coordinate supporting technology;
- Provide ad hoc administrative and project support to the Finance and Human Resources teams;
- Act as gatekeeper to professionals.
Requirements:
- Competency in Microsoft Office, particularly Outlook and PowerPoint;
- Be comfortable working and communicating with professional at all levels;
- Ability to exercise initiative;
- Ability to multi-task and prioritize;
- Strong communication skills and a demonstrated ability to write effectively.
