Our company is looking for a Floating Administrative Assistant to join our team.

Responsibilities:

  • Handle confidential documents and correspondence as needed;
  • Track, prepare, and process expense reconciliations, out-of-pocket reports, and invoices;
  • Manage calendars, schedule appointments, coordinate with other Assistants, and confirm meetings with clients, investors and colleagues;
  • Arrange travel for professionals, including flights, cars, hotels, visas, and other reservations;
  • Cover multiple phone lines, communicate with clients and investors as requested, and handle media inquiries appropriately;
  • Meet and greet guests; register guests in visitor system;
  • Provide backup coverage to Assistants and Reception team when they are on leave;
  • Schedule conference rooms for internal and external meetings; coordinate supporting technology;
  • Provide ad hoc administrative and project support to the Finance and Human Resources teams;
  • Act as gatekeeper to professionals.

Requirements:

  • Competency in Microsoft Office, particularly Outlook and PowerPoint;
  • Be comfortable working and communicating with professional at all levels;
  • Ability to exercise initiative;
  • Ability to multi-task and prioritize;
  • Strong communication skills and a demonstrated ability to write effectively.
