VETERANS HEALTH ADMINISTRATION
This position serves as the Executive Secretary of the Office of the Assistant Director for the VA Central California Health Care System in Fresno, CA. They are the principal clerical and administrative support position to the Office of the Assistant Director and are responsible for carrying out and coordinating all the clerical and day-to-day administrative support activities for the service.

Performs program support work, such as program or office planning, correspondence control, serving as a liaison between administrative services and the Assistant Director or the Health Systems Specialist that supports the Assistant Director.
Provides administrative and technical information to callers after determining that the caller has a right and need to receive the information.
Reviews outgoing correspondence and reports prepared by staff, ensuring proper format, correct grammatical content, mathematical correctness, and coordination of facts/routing in accordance with established policy.
Gathers materials for use in reports, presentations, and speeches.
Accumulates and organizes information for the Office of the Assistant Director required for evaluating programs and their requirements.
Reviews all documents, forms, proposals and travel requests before submitting them to the Health Systems Specialist or the Assistant Director.
Makes necessary arrangements for routine and professional staff meetings, which may include coordinating agendas, background information, hotel and travel arrangements, luncheons, speakers, correspondence, and transportation.
Will serve as a back-up timekeeper for the Secretary to the Director and the Secretary to the Chief of Staff, Secretary to the Associate Director and Secretary to the Director.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
Work Schedule: Monday - Friday, 8:00am - 4:30pm

Communicates effectively, both orally and in writing.
Experience reviewing incoming and outgoing correspondence, ensuring proper format and correct grammatical content. Experience screening and referring telephone calls and visitors.
Experience working in an office setting utilizing administrative practices and procedures.
Skill in use of automated data processing equipment and the software associated for maintaining calendars, word processing, data processing (charts, graphs, illustrations etc.), Experience working in an office setting utilizing advanced administrative practices and procedures.
Communicates effectively, both orally and in writing, to effect necessary changes and carry out program objectives.
Experience screening telephone calls and visitors to the office, referring to staff members and forwarding to the supervisor only those calls or visitors requiring that person's attention.
Reviewing outgoing correspondence and reports prepared, ensuring proper format, mathematical correctness, correct grammatical content, and ascertaining that all necessary coordination of facts has been completed and is in accordance with established policy. Experience handling requests for information and resolving problems, meeting and dealing with all levels of government, private sector and/or the public.
