Essential Functions : Reports to Building Principal

Greet and assist visitors at the building.
Enroll new students and orient new families to the building.
Answer telephone and document messages for staff and students.
Arrange for substitute teachers and aides when needed.
Maintain payroll for approximately 45 employees (turned in every 2 weeks to Central Office)
Process and prepare requisitions and purchase orders.
Set up new books for upcoming school year.
Communication via weekly newsletter and any extra-curricular activity flyers for parents and students.
Maintain Permanent Record File for all students. Ensure residency and birth certificate documentation is received and on file.
State Reporting.
Maintain student records in Student Information System (Harmony). Enter and withdraw approximately 100 students each year. Update student's emergency and parent information.
Forward copies of withdrawn student's records and request record for new students.
Use the DOE website to track and create STN.
Order supplies for office and teacher use.
Order workbooks and textbooks for upcoming school year.

Process Free & Reduce Applications
Secretary to Principal - letters, reports, spreadsheets, etc.
Member of the building Crisis Team.
On the emergency contact list for the Fire Department and Porter County Sheriff concerning the building.
Prepare registration materials.
Programs, awards and invitations for student events.
Organize Volunteer Appreciation and Teacher Appreciation.
Process inter-school mail daily.
Maintain accurate data records on all students for proper ISTEP data.
Additional Duties
Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the building and assignments from the principal.

Uses standard office equipment such as personal computer, copy machine, fax machine, telephone.
Physical and Mental Demands, Work Hazards
Works in standard office and school building environments.
Ability to work outdoors during outdoor student activities.
Exert 20 to 40 pounds of force frequently to lift, carry, push, pull, or otherwise move objects.
Perceiving the nature of sound, near and far, visual acuity, depth perception, providing oral information, the manual dexterity to operate business related equipment, and handle the work with various materials and objects are important aspects of this job.
Qualification Profile
Minimum level of formal training is high school diploma or equivalent. Post-secondary training in subjects that support the job responsibilities is desirable.
Strong oral and written communication and mathematics computational skills are required.
Strong secretarial and computer skills.
Three years of successful employment in a similar or related field are required.
Attendance and promptness are essential functions of this Secretary position.
