This role supports project managers, field supervision, engineering, procurement, safety, customers, vendors, subcontractors, and suppliers to help ensure projects are organized, properly documented, safely executed, commercially controlled, and completed in accordance with customer and company expectations.
The ideal candidate understands industrial electrical construction methods, project documentation, scheduling, procurement, RFIs, submittals, cost tracking, change management, QA/QC, field coordination, and customer communication. This person should be organized, technically curious, responsive, and capable of helping move multiple project priorities forward while maintaining accuracy, professionalism, and accountability.

Key Responsibilities

Project Coordination and Execution Support

  • Support industrial electrical construction and field service projects from award through completion and closeout.
  • Review project contracts, estimates, drawings, specifications, proposals, assumptions, exclusions, and customer requirements.
  • Assist with project handoff from estimating and sales to operations by organizing scope, schedule, budget, exclusions, deliverables, and project risks.
  • Help develop project execution plans identifying scope, schedule, labor requirements, materials, equipment, subcontractors, milestones, risks, and deliverables.
  • Coordinate mobilization, site access, onboarding, permits, safety requirements, material deliveries, temporary facilities, and field support needs.
  • Maintain visibility into open issues, action items, decisions, changes, approvals, constraints, and customer commitments.

Scheduling, Progress, and Field Communication
  • Assist in developing and maintaining project schedules that include engineering, submittals, procurement, mobilization, construction activities, testing, commissioning, and closeout.
  • Track actual progress against project schedules and obtain regular progress information from field leadership.
  • Help identify delays, resource constraints, critical-path activities, shutdown windows, outage requirements, and customer-controlled activities.
  • Prepare look-ahead schedules and communicate upcoming milestones, constraints, and potential delays to project leadership.
  • Maintain documentation for schedule changes, customer delays, access restrictions, weather impacts, late material, and other project disruptions.

Cost Control, Forecasting, and Change Management

  • Support project performance tracking against the original estimate, approved budget, committed costs, and contract value.
  • Review estimated labor hours, material allowances, equipment costs, subcontractor costs, and project assumptions with project leadership.
  • Track labor hours, productivity, material spending, equipment usage, subcontractor costs, and other project expenses.
  • Assist with identifying out-of-scope work, customer-directed changes, field conditions, design revisions, delays, and additional work.
  • Coordinate with estimating and field leadership to develop accurate change-order pricing and supporting documentation.
  • Maintain change-order logs showing submitted, pending, approved, rejected, and completed changes.
  • Help ensure written authorization is obtained before proceeding with extra work whenever possible.

RFIs, Submittals, Documentation, and Technical Coordination

  • Assist with the complete Request for Information (RFI) process, including drafting, submitting, tracking, distributing, and closing RFIs.
  • Review RFI responses for potential cost, schedule, procurement, and field execution impacts. • Maintain accurate RFI logs, submittal registers, drawing logs, material logs, and project documentation records.
  • Support the submittal process, including preparation, internal review, submission, resubmission, approval, distribution, and final documentation.
  • Coordinate shop drawings, product data, material certifications, test reports, operation and maintenance manuals, and equipment documentation.
  • Maintain current drawings, specifications, revisions, bulletins, field directives, approved submittals, and project correspondence.
  • Coordinate technical questions with electrical engineers, designers, OEMs, vendors, subcontractors, customers, and field teams.
  • Support field teams in resolving constructability issues and interpreting project requirements while recognizing when engineering review or customer approval is required.

Procurement, Vendor, and OEM Coordination

  • Help develop and maintain project procurement plans and material tracking logs.
  • Identify long-lead electrical equipment and materials during the early stages of the project.
  • Coordinate purchasing activities with approved suppliers, distributors, subcontractors, and OEMs. • Prepare or review purchase requisitions, purchase orders, and subcontractor scopes.
  • Confirm that purchased equipment and materials comply with project specifications and approved submittals.
  • Track fabrication, shipment, delivery, inspection, storage, release dates, warranties, spare parts, and turnover documentation.
  • Coordinate OEM engineering support, factory testing, field service technicians, commissioning personnel, and warranty representatives when required.

Quality, Testing, Commissioning, and Closeout

  • Support project-specific QA/QC planning and documentation for industrial electrical installations. • Confirm that installation documentation aligns with drawings, specifications, approved submittals, manufacturer requirements, applicable codes, and customer standards.
  • Coordinate inspections, testing, commissioning, punch-list completion, customer acceptance, and corrective actions.
  • Track deficiencies, punch-list items, nonconformance reports, and corrective actions through completion.
  • Collect and organize as-built drawings, test reports, warranties, equipment manuals, spare-parts lists, training records, and turnover documentation.
  • Confirm RFIs, submittals, change orders, procurement items, quality records, and closeout requirements are properly completed.
  • Support final billing, retention release, commercial closeout, and lessons-learned reviews.
