The University of Washington School of Dentistry Office of the Dean has an outstanding opportunity for a part-time (50% FTE) Academic Human Resources Manager to join their team.

Reporting to the Director of Human Resources, the Academic Human Resources Manager is responsible for managing the cyclical activities of Human Resources academic personnel, including appointments, annual performance reviews, and separations.

The Academic Human Resources Manager is a member of the SODHR team, which helps define internal policies and procedures and serves as the liaison with other School of Dentistry departments and University offices. The Academic Human Resources Manager must be able to communicate with diverse groups (faculty and staff) and collaborate with professionals from different disciplines and perspectives. The Academic Human Resources Manager partners with the Director of Human Resources, Human Resources Manager, HR/Payroll Specialist, Student Assistant, and the executive support team in the Dean’s Office. They actively participate in the program’s process improvements and regularly exercises independent judgment and discretion while working to support human resources operations.

It requires an individual who is familiar with human resources operations and related policies and procedures. The successful candidate should exercise initiative to research issues, gather and present information to the Director of Human Resources, be comfortable with identifying and pursuing creative problem solving, as well as being able to effectively communicate with a variety of internal and external stakeholders.

The salary provided below is based on a full-time rate and will be prorated for this part-time, 50% FTE opportunity.

$Occasional Telework

Academic HR (80%)

Manage appointments (ongoing). Work with academic administrators to ensure faculty appointment packets are in compliance with University of Washington (UW) Academic Personnel and Faculty (APF) requirements; enter appointment in Workday.

Work with the HR/Payroll Specialist to ensure compliance with UW APF procedures and UW School of Dentistry (UWSOD) training requirements.

Manage annual faculty reviews (Spring Quarter). draft announcements and reminders and send to academic departments; oversee submissions and ensure documents are stored electronically. Manage academic reviews:

draft dean’s decision letters and send to faculty members, department chairs, and administrators; and update Workday.

Run Workday reports; draft dean’s decision letter and send to faculty members, department chairs, and administrators; and upload report to APF SharePoint site.

Provide administrative support for the APT Committee (Fall Quarter unless ad hoc projects needed). Draft annual report.

Manage1460 Outside Professional Work for Compensation (Summer Quarter). send forms to the UW Office of Research (UWOR) for final approval; Manage sabbatical leave (Fall Quarter). Manage faculty retiree rehire (Fall Quarter). Verify with the UW Benefits Office if retirees have vested reemployment rights. Manage endowment (ongoing). Advise dean on selection/reappointment process consistent with endowment agreements and UW policy. Enter appointment/reappointment in Workday.

Manage separations/retirements (ongoing). Ensure separation documents are complete. Advise administrators to open UWSOD tickets and upload materials. Provide retirement guidelines to faculty members, if applicable. Enter separation in Workday.

Perform Workday Human Capital Management 2 transactions (ongoing). Update Workday on faculty employment changes. Run reports regularly to ensure integrity of data.

HR Operations (10%)

SODHR faculty website. Ensure website content is up-to-date. Faculty academic onboarding; early career faculty meetings with the dean; Assist with surveys.

Ad hoc projects as they arise.

Bachelor’s Degree in Human Resources, Business Administration, or related field.

Four years of progressively responsible human resources experience.

Two years’ experience working in higher education or academic healthcare settings.

Knowledge of federal, state and local employment regulations.

Experience interpreting complex policies

Computer software skills (Excel, Word, PowerPoint, Outlook, Acrobat, SharePoint)

Familiarity with academic personnel employment lifecycle.

Experience using Workday and Interfolio.
