This role serves as the first point of contact for visitors and callers while providing administrative support to ensure efficient office workflow. - Answer and route incoming phone calls to appropriate departments and personnel.
- Greet visitors and provide a professional, welcoming office experience.
- Schedule meetings, appointments, and conference room reservations.
- Prepare meeting agendas and document meeting minutes as needed.
- Create, edit, proofread, and distribute correspondence, reports, spreadsheets, and presentations.
- Maintain and organize both electronic and paper filing systems.
- Scan, copy, print, and manage office documentation.
- Coordinate small meetings, employee events, training sessions, and team activities.
- Assist with general office administration and special projects as assigned.
- Ensure confidentiality and accuracy when handling sensitive information.
- High School Diploma or GED.
- Previous administrative, office support, receptionist, or customer service experience.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Ability to multitask and work independently in a professional office environment.
- Associate degree or additional administrative training.
- Experience supporting multiple departments or leadership teams.
- Experience scheduling meetings and maintaining office records.
