Paralegal Administrative Coordinator

Overview We are seeking a Paralegal Administrative Coordinator to join our Washington D.C. office (hybrid). The Coordinator will provide high-level coordination and administrative assistance to Paralegal Services management teams. Responsibilities Assist with high-level, complex tasks and projects while collaborating with other firm departments and team members. Serve as a resource to department personnel, providing excellent customer service when responding to inquiries regarding department procedures. Schedule and manage calendars for Paralegal Services, including new hire training programs, events, and department-wide meetings. Prepare and track training initiatives for new hires and continuing education programs across all offices worldwide. Coordinate with Conference Services for meeting and training requests, including audio‑visual and catering services. Arrange travel for paralegal training programs. Facilitate department office moves. Enter and review time allocations for paralegals on secondment, ensuring compliance with daily entry requirements. Reconcile paralegal expense reports and coordinate with the Expense Department as needed. Monitor paralegal attendance, absence requests, and overtime, ensuring accuracy and compliance with firm policies. Manage document organization and records retention for administrative files. Track paralegal assignments, certifications, and skills, maintaining up-to-date lists with the management team. Maintain and update Paralegal Services team resources on SharePoint and the intranet site. Support People and technical teams with setup for external network access. Process invoices, check requests, and expense reports, confirming accuracy and attaching supporting documentation before forwarding for signature. Develop project strategies to ensure efficient completion of tasks. Consult with the firm’s support departments and internal business services professionals at all levels. Coordinate with other firm offices domestically and internationally as required. Assist with department initiatives and special projects, ensuring all projects adhere to professional standards. Organize and facilitate conference and video calls. Perform varied and complex assignments under time‑critical deadlines. Demonstrate effective interpersonal, written, and verbal communication skills to facilitate productive work relationships. Manage firm resources responsibly. Comply with and understand firm operations, policies, and procedures. Maintain regular and reliable physical presence. Perform other related duties as assigned. Qualifications Excellent customer service skills. Advanced proficiency with firm computer software (Outlook, Excel, PowerPoint) and the ability to learn new software and operating systems. Ability to navigate electronic databases and document repositories. Strong analytical, troubleshooting, organizational, and planning skills. Ability to synthesize information to prioritize and organize tasks. High level of professionalism. Flexibility and willingness to perform a wide range of tasks beyond routine expectations. Initiative and confidence to assume high responsibility in a fast‑paced environment. Effective interpersonal and communication skills (verbal and written). Ability to handle sensitive matters and maintain confidentiality. Read, interpret, convey, and follow instructions accurately. Close attention to detail. Organize and prioritize work effectively. Ability to work independently and within a team. Handle multiple projects, assignments, and shifting deadlines. Assume progressive responsibilities as experience is gained. Strong organizational skills. Flexibility to adjust hours and work the hours necessary to meet operating and business needs. Bachelor's degree. Minimum of two years of related experience. Location Washington D.C., hybrid. Salary $75,000 - $85,000.
