Assistant Center Manager

Miami Beach Medical Group

The Assistant Center Manager aids the center manager and ensures the efficient flow of daily center operations. They will provide administrative leadership and supervise team members to ensure the delivery of exceptional care and customer service.

Duties and Responsibilities:


  • Helps identify areas needing improvement within departments and overall improvements within all centers.
  • Assists in interviewing, selecting, evaluating, coaching, and training team members.
  • Assists with onboarding of new team members and training.
  • Responsible for handling Physicians' scheduling and cancellations, ensuring optimum service is rendered to the patients.
  • Maintains effective communication among team regarding changes and updates of physician schedules, including scheduling, rescheduling, and appointment cancellations.
  • Coordinates activities such as patient birthdays, holiday events and other miscellaneous activities with the activity coordinator.
  • Responsible for supervising the Patient Registration process for accuracy including verification of insurance, waivers, assigned providers, etc.
  • Manages patient flow along with the Medical Assistant team lead.
  • Assists with timekeeping by maintaining employee edit requests, Paid Time Off requests, etc.
  • Ensures compliance with all licensing including local, state, and federal regulatory agencies related to clinical services provided are up to date.
  • Responsible for sending Daily Morning Pulse, completing daily center checklists, and monitoring daily huddles.
  • Responsible for keeping fire drills and dental logs updated.
  • Assists in keeping inventory of supplies and place orders as needed including office/coffee supplies, pastries, and meals.
  • Confirms transportation list is accurate and sent to the transportation team in a timely manner.
  • Ensures that phones are being answered professionally and promptly.
  • Responsible for daily & monthly surveys and follow-up to the survey outcomes.
  • Processes Daily Task Reports and follows up with team members on any open task.
  • Performs other duties as assigned.
Qualifications / Education / Licenses:
  • At least two (2) years of medical office or healthcare administrative experience.
  • MS Office programs experience.
  • Must have CPR certification from the American Heart Association. Training and certification can be provided upon hire.
  • Use relevant information and individual judgment to determine whether events or processes comply with laws, regulations, or standards.
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
  • Use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
  • Understand written sentences and paragraphs in work related documents.
  • Knowledge of medical terminology.
  • Bilingual skills preferred (English/Spanish)
