Position Description Manages the internal operations for the Plans and Designs (P&D) Branch. Responsibilities include managing and tracking A/E contracts, invoices, design timelines, and design documents; administrative duties such as managing GSA fleet vehicles, handling hand receipts, and office supply ordering; maintaining the PD Design Tracker, coordinating with LMD‑C for contract document submittal, tracking NTPs, QA’s and submitting invoice payments; assisting CFMO Architect with the assembly and submission of A/E board packets; assembling MILCON design submittals according to the ARNG G‑9 Submittal Checklist; gathering design review comments and submitting them to A/Es; coordinating with LMD for front‑end specifications; maintaining Guiding Principles documents; assisting A/E firms with design document submission schedules; organizing and storing drawings and specifications on SharePoint and in print format; coordinating with Business Management Document Control Specialist for archive transfer; reviewing and tracking A/E Title I invoices and payments; managing transfer of 100% design documents to CQA Managers; reviewing and updating MILCON project audit folders; managing the CFMO Branch calendar and scheduling design review meetings; tracking GSA mileage reports and vehicle maintenance; ensuring office supplies ordering and 101 submissions; managing hand receipt tracking and ensuring annual training compliance; submitting evaluation support forms; and performing all other duties as assigned by the PD Branch Manager or the CFMO. Position Qualifications Minimum Qualifications: Two years’ experience in Project Management. Knowledge, Skills, and Abilities: Architecture and Engineering (A/E) Project Management experience preferred. Understanding of Louisiana Military Department contracting procedures. Experience managing design contracts. Understanding of A/E design process. Experience with contract invoicing, with specific AIA contract document knowledge preferred. Ability to maintain and monitor metrics and key performance indicators for A/E performance. Ability to support drafting and follow‑up of correspondence with stakeholders (LMD, internal team, etc.). Understanding of Military Organizational Structure. Ability to manage formal communication with LMD and key partners. Risk Management experience on project execution. Research and Understanding: Louisiana Military Department Contract General Conditions and Front End Documents. Louisiana Public Bid Law and Bid Opening Procedures. Must meet physical requirements to perform functions of the position. Must attend/complete all Louisiana Military Department (LMD) annual training and other training required for the position.
