This position also assists the General Manager and DBH Finance and may do special projects with other departments as requested.Essential Functions of the JobAnswer multi-line telephone system and forward calls to appropriate office personnelManage the components of the phone system, including welcome message, phone tree, general VM, etc.Order, organize, and ensure all office supplies are on hand and that all office machinery is in good working orderCoordinate service calls for office equipment repairOrder supplies for the breakroom and ensure cleanlinessAssist DBH Finance by handling activities such as handling bank deposits, gameday cash operations (if applicable), manual check creation, facilitating invoice and spend approvals, and interacting with vendorsAssist in onboarding and processing payroll for seasonal employees and ensure compliance with all relevant trainings and policiesAct as the I-9 Agent for all seasonal and front office staff; ensuring 100% complianceHelp staff with time and expense reimbursement submissions and manage credit card tracking for receipts and coding in Divvy/Bill.comWork with regional finance team to complete month-end close tasksTrack and submit monthly sales commissions for front office staffAssist with the collections of past due receivablesBill Major League Baseball affiliate for reimbursables and maintain close relationshipsAssist in the preparation and reporting of sales taxesManage and ensure timeliness with rent and other required paymentsAssist in planning and execution of staff birthdays, anniversaries and other special eventsEducation and Experience PreferredAssociate or Bachelors degree3-5 years experience in an office environmentStrong knowledge of Microsoft OfficeAdministrative experience supporting multiple people and departmentsExperience working in an accounting environmentExcellent organizational skills, attention to detail and ability to multitaskAbility to maintain confidentiality and professionalismMinimum Education and Experience RequiredHigh School Diploma/GED1-2 years experience in an office environment1-2 years' experience in Accounts PayableExperience and knowledge of Microsoft Office and ExcelAbility to use a multi-line phone systemGeneral Accounting software knowledgeGood organizational skills, ability to manage time efficiently and effectivelyAbility to maintain confidentiality and professionalismDiamond Baseball Holdings is an equal opportunity employer and does not discriminate against any employee or applicant for employment on the basis of race, color, religion, sex, national origin, age, disability, veteran status, sexual orientation, gender identity, or any other protected status under applicable law.
