Office Assistant

$20 - $23 per hour

You’ll act as the first point of contact for the business, answer phone calls, schedule meetings, make travel arrangements, handle mail and deliveries, and help us with other operational duties to keep everything running smoothly. Responsibilities: • Keep the front office secure by ensuring all visitors follow the proper sign-in procedures • Provide administrative support to other team members with data entry, paperwork, photocopying, etc. when needed • Manage incoming and outgoing mail and handle deliveries • Respond to incoming phone calls and emails and make sure the right people receive all important information • Responds to and resolves client inquiries and questions • Task management, tracking deadlines • Following written instructions and checklists • Copying, scanning, and filing (physical and electronic filing) • Data entry using common web-based formats • Works with and coordinates efforts with other in-office staff • Responds to and resolves client inquiries and questions • Assist with and confirm in-person client appointments (as needed) • Performs other related duties as assigned Qualifications: • At least one year of receptionist or administrative assistant, experience, or similar preferred • Displays impeccable interpersonal, time management, organizational, and customer service skills • Must have graduated high school, received a G.E.D. or equivalent • Has experience answering telephone calls and troubleshooting stressful situations • Proficient computer skills and knowledge of Microsoft Office • Excellent verbal and written communication skills in Spanish • Excellent interpersonal and customer service skills in Spanish • Proficient with Microsoft Office, Google Workspace, and related software • Excellent organizational skills and attention to detail • Basic understanding of clerical procedures and systems, such as recording, keeping, and filing • Ability to work independently • Associate's degree required in a related field • 1-3 years of experience in a similar role • Must be able to work full-time, in-office (Vista, CA) Compensation: $20 - $23 hourly
