Tenant Associate

Position Summary The Tenant Associate supports Property Managers by handling monthly reporting, budgeting, tenant inquiries, drafting notices, and correspondence. The role also involves preparing monthly operating reports, tenant billings, rent collection, and property payables. Exceptional customer service to tenants, owners, and vendors is a key focus, along with productivity and results. Essential Job Functions Provide full administrative support for the property management office, including phone assistance, typing, reports, filing, and distribution of correspondence. Schedule and coordinate meetings and special events as requested. Administer vendor and utility supplier account setup and ongoing maintenance. Assist with lease administration activities and maintain lease and property files. Track and file all service and construction contracts and insurance certificates, maintaining a follow‑up system for expirations. Promote and foster positive relationships with tenants and owners. Assist Property Manager or Assistant Property Manager with initiating late payment calls as required. Interface with tenants and vendors in daily building operations. Provide administrative support for capital and tenant improvement projects, including preparation and coordination of bid proposals, service contracts, and invoice approvals. Initiate and execute day‑to‑day operational procedures, interacting with engineers, security, janitors, and other building staff. Maintain current certificates of insurance for all vendors, ensuring coverage complies with requirements. Track and maintain Energy Star benchmarking data to keep information current and accurate. Respond positively and promptly to standard building requests. Provide accounts receivable support, including posting cash receipts, tenant bill backs, and AR status reports. Provide accounts payable support, coding invoices, creating expense reports, posting AP reports, and onboarding vendors. Review other A/P and A/R applications as required by the Property Manager. Perform additional duties or projects as assigned by the Property Manager or Assistant Property Manager. Position Requirements Bachelor’s degree preferred. Minimum of 2 years of property management experience, preferably in commercial/Class A Office management. Intermediate to advanced proficiency in MS 365 Word, Excel, and Outlook. Experience with accounting software such as MRI, Yardi, or CTI preferred. Ability to keep information strictly confidential. Strong desire to succeed in an entrepreneurial environment. Ability to handle multiple projects, changing priorities, and a continually heavy workload. Exceptional oral and written communication skills. Strong customer service orientation. Salary Range $72,000 – $80,000 Work Shift On‑site role with no remote or hybrid options. The position requires daily presence at the property for real‑time engagement with clients and tenants.
