Work Hours: 8:00 AM - 5:00 PM (1-hour lunch) - Not flexible
Compensation: $25-26.51 per hour

Position Summary

The Procurement Specialist is responsible for all aspects of purchasing and related procurement activities . You'll thrive in a fast-paced, deadline-driven environment , coordinate effectively with internal and external partners, and support high-quality purchasing outcomes aligned with applicable policies and standards.

Key Responsibilities

• Procure high-quality goods and services in accordance with approved procurement policies and procedures.
• Negotiate adjustments, returns, and exchanges for purchases made for the agency.
• Ensure purchases are completed in accordance with accepted Federal and State standards .
• Take affirmative steps to utilize small and minority businesses when possible for supplies, equipment, construction, and services.
• Create and implement a sophisticated electronic procurement tracking system to track purchases from purchase request initiation through goods receipt posting .
• Prepare or assist with financial and statistical reports as assigned.
• Maintain and review computerized records covering purchased items, costs, delivery performance, product performance, and inventories .
• Serve as an integral contributor on committees exploring:
  • Bid strategies
  • Specification development
  • Contract language
  • Guidance on agency Requests for Proposals (RFPs)
• Participate in the development and presentation of procurement-related training .
• Analyze price proposals, financial reports, and other data to determine reasonable prices .
• Ensure procurement records and files include required documentation, including:
  • Vendor selection or rejection
  • The basis for the cost or price
• Monitor shipments to ensure goods arrive on time; trace and follow up on undelivered goods as needed.
• Confer with staff, users, and vendors to address defective or unacceptable goods/services and determine corrective action.
• Classify, code, and assign goods and services purchased according to the associated budget line item .
• Exhibit exceptional internal and external customer service .
• Develop and maintain a computerized database to track vouchers for:
  • Uniforms
  • School supplies
  • Pharmacy vouchers
• Ensure funds are available in the appropriate budget category for all purchases requested.
• Track expenditures by program and department to ensure budgets are not exceeded.

Qualifications

Education/Experience

• Bachelor's degree in Business Administration or Finance , or
• At least 3 years of work experience in a Procurement/Purchasing role, or a combination of relevant education and experience that provides the required knowledge and skills.
• Knowledge of GAAP and OMB regulations governing nonprofit agencies (or ability to learn).

Communication Skills

• Ability to read and comprehend intermediate to complex instructions.
• Ability to write concise, logical, and grammatically correct written communication, including simple and clear correspondence.
• Excellent oral and written communication skills to interact with all levels of management, colleagues, and staff.

Mathematical Skills

• Intermediate math skills required.

Computer Skills

• Ability to work in a computerized environment with intermediate knowledge of Microsoft Office applications, including:
  • Windows
  • MS Outlook
  • MS Word
  • MS Excel
  • MS PowerPoint
  • MS Access
• Microix experience is highly preferred.

Licensing/Certifications

• Must provide reliable transportation.

Work Environment & Physical Requirements

• Typical office setting; noise level usually quiet to moderately noisy.
• While performing duties, employees may be required to talk and hear regularly.
• Frequently required to sit and use hands; required to stand and walk.
• Ability to lift items from the floor up to 30 pounds , reach overhead, and reach to the floor.
• PPE may be required when necessary (safety is a core company value).
