Position Summary

The Hearings Coordinator – Florida Foreclosure is responsible for coordinating, scheduling, and tracking foreclosure related hearings in a fast paced, high volume environment to ensure accuracy, efficiency, and compliance with all client, court, state, and federal requirements. This role supports the foreclosure department’s daily operations by managing hearing calendars, preparing and filing hearing related documents, coordinating with internal teams, and ensuring timely file progression. The Hearings Coordinator plays a key role in maintaining service quality, meeting deadlines, and adhering to performance standards.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

Hearing Coordination and Case Management

• Coordinate and schedule foreclosure hearings throughout the state of Florida in accordance with court procedures, judicial preferences, and client guidelines.

• Process and manage hearing related tasks accurately while supporting timely case progression in a high volume workflow.

• Track hearing dates, outcomes, and next steps to ensure files move forward without delay.

Document Preparation and Filing

• Prepare, review, and file hearing related pleadings, notices, and proposed orders, ensuring accuracy and completeness.

• Ensure all filings comply with Florida statutes, court rules, firm procedures, and client requirements.

Data Entry and Tracking

• Input and maintain accurate hearing and case data in case management systems.

• Update records in real time to reflect hearing activity, outcomes, and deadlines.

Internal Coordination and Communication

• Collaborate with attorneys, paralegals, supervisors, and managers to ensure hearing readiness and efficient workflow.

• Coordinate with courts, judicial assistants, and vendors regarding scheduling, cancellations, continuances, or rescheduling as needed.

Client Communication and Reporting

• Communicate professionally and promptly with clients to provide hearing updates, respond to inquiries, and resolve issues as required.

• Assist with generating reports related to hearing status, timelines, and key performance metrics upon request.

Compliance and Quality Control

• Follow established procedures and compliance guidelines to ensure adherence to client, court, state, and federal requirements.

• Identify potential issues, conflicts, or delays and escalate appropriately to management or counsel.

Deadline and Calendar Management

• Manage and prioritize a high volume of hearings and deadlines while maintaining accuracy and attention to detail.

• Ensure all hearing related tasks and filings are completed within required timeframes to avoid delays and maintain client satisfaction.

Process Improvement and Team Support

• Identify opportunities to enhance hearing coordination workflows and improve efficiency.

• Assist with training new team members by sharing knowledge and best practices as needed.

Requirements:

Minimum Qualifications (Knowledge, Skills, and Abilities)

•Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.

•Experience: Minimum of 2 years of experience in foreclosure, mortgage servicing, or a related legal field.

•Knowledge: Familiarity with foreclosure processes, legal terminology, and state-specific requirements.

•Skills:

oStrong organizational and time management skills.

oAttention to detail and accuracy in all tasks.

oEffective communication skills, both written and verbal.

oProficiency in Microsoft Office Suite (Excel, Word, Outlook) and both firm and client case management systems.

oAbility to follow procedures and meet deadlines consistently.

•Abilities:

oAbility to manage a high volume of work in a fast-paced environment.

oAbility to maintain confidentiality and handle sensitive information.

oAbility to problem-solve and escalate issues appropriately.

oAbility to work independently and collaboratively within a team.
