Job Description


POSITION OBJECTIVE

Coordinate admissions directives and plans for the Masters of Science in Medical Physiology (MSMP). Support admissions recruitment and support faculty in their recruitment efforts.


ESSENTIAL FUNCTIONS

  1. Create an annual admissions plan, mapping out initiatives within a recruitment cycle. Develop strategy and manage systems in service of enrollment goals for specific target populations, such as multicultural students. Develop, analyze and report year-end results (quantitative and qualitative data) and trends in applications, admissions and enrollment to inform development of that year¿s goals regarding the size and composition of the applicant pool. Share frequent goal updates with the MSMP administration committee and Executive Director of Enrollment Management for the School of Medicine. Coordinate with leadership team on opportunities to plan and execute open house events, academic fairs, manage online information sessions and webinars, promote program/faculty events to prospective students, and follow-up with leads personally generated and yielded from marketing. Coordinate recruitment efforts with the MSMP administration committee including those led by the admissions director and those faculty led initiatives (20%)
  2. Participate actively in discussions of emergent strategic issues as well as longer-term plans for medical physiology¿s ongoing growth and development. Engage in more tactical conversations involving informational updates, decisions related to execution of program-related activities. Regularly provide data, insights and recommendations for approaches to increase conversion rates of prospective students from expressing interest in the program via inquiry, to applying to the program (current pool of ~500 applicants), and then, if admitted, enrolling in the program (~current cohort ~120). Recruit participants, faculty, students, alums, to participate in recruitment activities and provide training for the activities. Attend faculty meetings as requested to provide data on current recruitment efforts and returns. (20%)
  3. Collaborate with School of Medicine Enrollment Management Office and University Marketing and Communications to inform its efforts to develop multi-channel campaigns that: (a) raise awareness of the Master of Science in medical physiology program among potential applicants, (b) highlight the program¿s most appealing and distinctive qualities; and (c) ultimately inspire them to engage directly to seek more information. Maintain ongoing communication with University Marketing and Communications to enable timely adjustments to message content and audience targeting that enhance the effectiveness of marketing outreach. Once prospective students contact the program, begin one-on-one engagement, including providing additional information, answering questions, connecting prospects with appropriate faculty and/or ambassadors, etc. For those students who apply, provide information and context gleaned from earlier interactions to admissions committee members. Advise and project manage CRM (Slate) communication campaigns, plans, workflows, and related CRM tasks to achieve enrollment goals for the program. (15%)
  4. With direction from the Program Director and Associate Director and in consultation with the Executive Director of Enrollment Management and Strategic Initiatives, identify and execute special projects that support program priorities. These projects may include such efforts as: (1) engaging colleges and universities that have been consistent sources of promising applicants to explore opportunities to formalize relationships (as one example, through articulation agreements), applying insights from such schools to identify and build relationships with other potential `feeder¿ institutions; (2) developing strategies to establish continuing pipelines of qualified applicants through collaborations with national organizations such as the medical scribe network, the National Association of Advisors for the Health Professions, Association of American Medical Colleges, and these organizations¿ regional and local chapters and pre-health advising offices. Initiate, develop, and cultivate strong partnerships with pre-health and pre-medical college advisors. Articulate the profile of a student who is likely to be competitive for admission at Case Western Reserve University Medical Physiology program. Be able to communicate to counselors those students who may be competitive and are desired by the university, but who might fall outside of normal admissions expectations. Develop reports to share with pre-health advisors on program outcomes. (3) launching initiatives to create connection and consistency among programs through such activities as similar admissions processes, and post-admissions follow up protocols, allowing for program strength to be presented with a unified and branded university. (4) tracking recruitment initiatives and activities, benchmarking against similar efforts by activities peer and aspirant programs and recommend adjustments to enhance the competitiveness of the program. (15%)
  5. Manage and maintain the student database. Run daily admissions imports as well as daily student letter requests. Import student data from the Registrar at the start and end of every term. Create numeric grades and comprehensive exam import. (15%)
NONESSENTIAL FUNCITONS
  1. Answer incoming calls and emails from prospective students, families and advisors. Interpret and explain the program¿s curriculum verbally and in writing; describe the culture of medical physiology students as well as the campus atmosphere and environment; articulate admission and scholarship policies, understanding when exceptions should be made; explain admission decisions. Calm upset, disappointed or angry callers. (5%)
  2. Identify student applicants who would benefit from faculty follow up and interaction during the application process and solicit faculty to speak with them. Coordinate the interaction, scheduling time for the student/faculty connection, and helping to solidify the relationship and enhance student commitment to the MSMP program. (5%)
  3. Perform other duties as assigned. (<1>
CONTACTS

Department: Frequent contact with faculty, particularly the Associate Director and Director of the MSMP program to discuss admissions planning, recruitment, and outcomes. Regular contact with the faculty who serve on the MSMP Administration committee to discuss applications of potential MSMP students, recruitment strategies for faculty who recruit, outcomes, and admissions objectives. Regular contact with departmental staff who manage and oversee essential functions in the MSMP program.

University: Regular contact with enrollment management and moderate contact with university marketing to discuss marketing materials, swag, and scheduling of coordinated open houses and admissions events for recruiting potential students.

External: Regular contact with prehealth advisors and other university faculty for the purposes of advertising the MSMP program and recruiting students.

Students: Regular contact with admitted students with the intention of tracking program successes and outcomes. Frequent contact with potential students to recruit them to the MSMP program.

QUALIFICAITONS

Education/Experience: Master¿s degree in higher education or a related field with 2 years of experience in admissions OR a Bachelor¿s degree and 6 years of admissions or related experience.


REQUIRED SKILLS
  1. Strong organization skills: ability to multitask, prioritize and meet deadlines. Must demonstrate attention to detail and accuracy, time management skills, and follow-through. Demonstrated ability to plan and manage complex projects required.
  2. Be able to adapt with the new technologies.
  3. Capable of working well both independently and as part of a team dedicated to achieving excellence. Ability and willingness to work as a partner with faculty and with students required.
  4. Execute and implement the courses through demonstration of sustained high quality and ownership. Course manager needs to work independently to bring all the pieces together.
  5. High degree of judgment, discretion, and confidentiality required.
  6. Excellent oral and written communication skills and interpersonal skills; must demonstrate the ability to effectively and professionally communicate and work with various individuals within and external to the University, including staff, faculty and students.
  7. Excellent editing skills for technical documents.
  8. Effective problem-solving skills; must demonstrate excellent analytical skills, sound judgment and good decision-making.
  9. Must demonstrate flexibility and ability to work under pressure; must be able and willing to work in a fast-paced, changing environment, and conform to shifting priorities, demands and timeline.
  10. Must have extensive computing experience, Excel, Word, PowerPoint, etc.
  11. Basic database management skills required.
  12. Effective administrative skills required.
  13. Must demonstrate willingness to learn and advance within the role as needed.
  14. Ability to demonstrate successful support, education, and advocacy for all students, aligned with the values, mission, and messaging of the university, while adhering to the staff policy on conflict of commitment and interest.
  15. Willingness to learn and work with Artificial Intelligence (AI) tools and technologies.
  16. Ability to meet consistent attendance.
  17. Ability to interact with colleagues, supervisors, and customers face to face.


WORKING CONDITIONS

General office environment. May be asked to work a fluctuating schedule. Evening hours and weekends are sometimes required. Travel for recruitment is part of this job.


Hybrid Eligibility


This position is eligible for hybrid work arrangement up to two remote days per week at the discretion of the department. New employees may begin a hybrid schedule upon approval from the supervisor, successful completion of an orientation period and signing the remote work checklist certification form.
