Service Coordinator Supervisor

Position Overview We are hiring a Service Coordinator Supervisor to dispatch and schedule preventative maintenance (PM), repairs, and services identified during inspections. The role is a customer‑experience leader responsible for ensuring the highest level of client satisfaction through proficient execution of our processes. Responsibilities Manage the lifecycle of preventive maintenance, scheduled repairs, and unscheduled/emergency services from origination to technician custody. Lead a team of 6–8 technicians across multiple markets in the United States and Canada. Handle sales and account management, maintain client relationships, and identify growth opportunities. Track, report, and ensure compliance with preventive maintenance (PM) for the client. Support technician development, coaching, and performance improvement. Procure parts, generate estimates, obtain approvals, and enforce proper parts markup per company standards. Follow all client SOPs and operational requirements. Participate in and lead bi‑weekly progress meetings with corporate leadership and local branch teams. Maintain timely and accurate documentation of all customer contacts in systems. Provide excellent customer service for all internal and external calls. Establish professional rapport with customers to encourage repeat business. Obtain customer approval for all repairs and services to be performed. Coordinate towing of customer units when necessary. Prioritize scheduling of repairs and maintenance with available resources. Schedule outside vendors only when technicians are unavailable and the customer location is not serviced by in‑house resources. Continuously develop and improve company capabilities in dispatching and service scheduling. Complete additional duties and special projects as assigned. Requirements High School Diploma/GED with 5 years’ experience in a related field; alternatively, a bachelor’s degree with 3 years of experience, a master’s degree with 1 year, or a Ph.D. with up to 1 year. Excellent verbal and written communication skills and the ability to communicate at all organizational levels. Proven ability to collaborate cross‑functionally and build trusted partnerships. Strong organizational skills and the ability to balance multiple tasks. Proficiency in Excel, data entry, and learning new platforms such as Web Wrench, MobileFrame, and RO Writer. Common knowledge of the trucking industry; experience with fleet maintenance or related automotive/trucking experience is highly desirable. Capability to work independently and collaboratively within a team environment. Excellent problem‑solving skills. Must hold a valid driver’s license. Highly organized with exceptional follow‑through abilities. Applicants must currently be authorized to work in the United States for any employer without current or future sponsorship. Compensation USD 55,600.00 - 83,400.00 per year. Base salary may vary within the anticipated range based on location and qualifying skills. The position may be eligible for an incentive program.
