Administrative Support Specialist

A growing corporate office is seeking a dependable and energetic Office Coordinator to support daily operations and help maintain an organized, welcoming, and efficient workplace environment. This position is fully onsite Monday through Friday and plays a key role in supporting both employees and leadership teams.
We are looking for someone who is highly organized, adaptable, and enjoys wearing multiple hats. The ideal candidate is professional, approachable, and able to confidently interact with employees at all levels of the organization. Primary Responsibilities- Provide day-to-day administrative support for the corporate office and leadership team
- Serve as a central point of contact by answering phones, managing emails, handling mail distribution, and assisting visitors
- Coordinate calendars, meetings, appointments, and travel arrangements for management staff across multiple office locations
- Prepare and process expense reports and assist with general office documentation
- Monitor office supply inventory and place orders to ensure smooth daily operations
- Support accounting and administrative functions with light clerical and financial tasks
- Assist with shipping, mailing, and deliveries, including occasional trips to postal or courier locations
- Open and close the office while maintaining office security and building access procedures
- Coordinate facility maintenance requests and communicate with landlords or service vendors regarding repairs and office needs
- Help create a positive company culture by organizing employee events, team activities, and office engagement initiatives
- Partner with accounting and leadership teams on special projects and additional administrative needs as assigned
- High School diploma
- At least 2 years of experience in an administrative, office support, or coordinator role
- Strong working knowledge of Microsoft Office programs
- Excellent organizational and multitasking abilities with strong attention to detail
- Effective written and verbal communication skills
- Ability to work independently while managing multiple priorities and deadlines
- Professional, dependable, and able to handle confidential information appropriately
- Positive attitude with a strong sense of initiative and accountability
- Comfortable working in a fast-paced and evolving team environment
