AP Supervisor

The Accounts Payable Supervisor is responsible for overseeing the daily operations of the Accounts Payable function, ensuring accurate and timely processing of vendor invoices, expense reports, payments, and account reconciliations. This role leads and develops the AP team, maintains strong vendor relationships, supports month-end and year-end close activities, and continuously improves processes and internal controls to drive efficiency and compliance. Key Responsibilities The Accounts Payable Supervisor is responsible for overseeing the daily operations of the Accounts Payable function, ensuring accurate and timely processing of vendor invoices, expense reports, payments, and account reconciliations. This role leads and develops the AP team, maintains strong vendor relationships, supports month-end and year-end close activities, and continuously improves processes and internal controls to drive efficiency and compliance. Key Responsibilities Leadership & Team Management Supervise, train, mentor, and evaluate Accounts Payable staff. Delegate workload and monitor team performance to ensure deadlines are met. Foster a collaborative, customer-focused, and results-driven environment. Assist with hiring, onboarding, and professional development of AP team members. Accounts Payable Operations Oversee the accurate processing of vendor invoices, employee expense reports, credit card transactions, ACH payments, wire transfers, and check runs. Review invoices for proper coding, approvals, supporting documentation, and compliance with company policies. Ensure timely payment of vendor obligations and resolve escalated vendor inquiries. Maintain vendor master records, including W-9s, tax information, and banking details. Monitor AP aging reports and proactively address outstanding issues. Accounting & Financial Reporting Reconcile accounts payable subledger to the general ledger. Assist with month-end and year-end close processes, including accruals and journal entries. Prepare and analyze AP-related reports and metrics for management. Support internal and external audits by providing requested documentation and explanations. Manage annual 1099 reporting and filing requirements. Process Improvement & Compliance Develop and maintain AP policies, procedures, and internal controls. Identify opportunities to streamline workflows and improve efficiency through automation and best practices. Ensure compliance with company policies, GAAP, SOX requirements (if applicable), and regulatory guidelines. Participate in system upgrades, testing, implementations, and process enhancement projects. Qualifications Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred. 5+ years of Accounts Payable experience.
