JOB SUMMARY & RESPONSIBILITIES Our Administrative Coordinators play an integral role at each of our facilities partnering with internal and external stakeholders to achieve the mission at POET. In this position, you will support the grain procurement team through interactions with local grain producers and administration of grain contracts. You will be the liaison between the human resources team and the local team members. You will be responsible for greeting visitors and ensuring they have an exceptional experience. You will have ownership of the mail, workrooms, and office supplies. You will perform inventory cycle counts for spare parts assets to ensure system accuracy. You will serve as part of the qualification team to assist your leaders in reviewing and onboarding service providers to ensure they are compliant with POET qualification requirements. This includes coordinating communication between leaders, vendors, and contractors and may also require collecting documentation to help the team evaluate and mitigate potential risk for each. Schedule: Monday – Friday, day shift. This is an on‑site role located in Alexandria, IN. Support grain contract administration and periodic audits while adhering to regulatory compliance. Build and maintain relationships with local grain producers. Serve as the first point of contact for team member inquiries within the realm of Human Resources. Understand and educate team members on basic benefit inquiries, including facilitating leave of absence requests. Assist with payroll processing on a biweekly basis, maintaining confidentiality and discretion. Help with recruitment, communicating with new hires, facilitating new hire paperwork, and providing a world‑class onboarding experience. Greet visitors courteously (in‑person and on the phone), determine their needs, and direct them as appropriate. Perform inventory counts for spare parts assets to ensure system accuracy. Assist vendors and contractors working to become compliant with POET’s qualification requirements. Coordinate record retention activities with the General Manager to maintain compliance with POET’s Record Retention Policy. Distribute the daily mail and maintain workrooms and inventories of supplies. Coordinate lunches, team celebrations or events, and fundraising campaigns. Share best practices and identify process improvements. Act as a champion for POET in the community. Foster a culture of safe behavior and environmental compliance at all times. Maintain and advance the food safety and quality of POET’s products and processes to deliver a best‑in‑class culture of quality. Support teamwork and apply your skills to a variety of other uses. QUALIFICATIONS & SKILLS High school diploma or equivalent required. Excellent organizational and time‑management skills. Strong communication skills – both written and verbal. Knowledge of the basics of Microsoft Office Suite and the ability to learn new programs. High level of personal integrity. Interpersonal skills – ability to effectively interact with individuals at all levels within and outside the organization. Demonstrated problem‑solving and critical‑thinking skills. Ability to embrace and promote change. Innovative mindset. Dedication to honesty, confidentiality, and ethical behavior in all business matters and assignments. PHYSICAL REQUIREMENTS & WORK ENVIRONMENT This role has some physical requirements that our team members will need to be able to perform, such as: Frequently sitting while working on a personal computer. Occasionally walking and climbing stairs. Occasionally wearing personal protective equipment (PPE).
