Investment Administrative Assistant

THE ROLE Using discretion and judgment, provides consistent, high-level administrative support to assigned members of the Investment Department in a value-added manner. Ability to perform administrative responsibilities with minimal supervision. WHAT YOU WILL DO Partner with assigned investment professional to perform a variety of specialized duties, which may be complex in nature. Understand business needs; work proactively to meet those needs while following department procedures and guidelines. Comprehend the companies and industries being followed, and independently work to streamline and minimize administrative burden on the investment professional. Understand and master all department systems, databases and research tools to ensure smooth and efficient department operations. Gather research data for presentation material, organize travel for company visits, conferences and marketing trips, and process expense requests in a timely manner. Collaborate with the senior office associate to assist with administrative procedures and perform a variety of specialized duties, some of which are confidential in nature and require knowledge or understanding of department operations. Ensure external and internal communication, documents and materials are accurate and error‑free. Consistently look for ways to improve various department processes and procedures to ensure efficiency. Serve as a resource to the senior office associate with new hire and ongoing training. Perform additional responsibilities as requested. WHAT WE ARE LOOKING FOR Bachelor’s degree or equivalent education and work experience. Minimum three years administrative assistant experience. Excellent interpersonal, communication and analytical skills. Advanced computer skills including Microsoft Outlook, Word, Excel, Power Point and Access. Flexible and team‑oriented mindset. Experience with travel and expense management and video conferencing equipment. BENEFITS & COMPENSATION Salary range reflecting candidate experience, training and education. Significant and competitive incentive compensation based on individual and company performance. 15% of base salary contributed to an independent retirement plan separate from the company‑sponsored 401(k). Education Assistance: $100 monthly up to $10,000 lifetime maximum, tuition reimbursement up to $8,000 annually, and access to discounted tutors and college coaches. Generous time off and fully paid leaves, including 20 weeks for maternity and 12 weeks for parental and caregiver leave.
