Shipping And Receiving AssistantUnder the direction of the Division Manager, the Shipping And Receiving Assistant supports the accurate and efficient flow of inbound and outbound freight at Arrow's Chicago, Illinois reload facility. This role assists with receiving, shipping documentation, inventory tracking, customer service, and communication with carriers, suppliers, customers, and internal teams. The Shipping And Receiving Assistant plays an important support role in the day-to-day reload operations of the division, helping ensure products move through the facility and transportation network accurately, safely, and efficiently.The Shipping And Receiving Assistant contributes to customer service success and operational efficiency through accurate record keeping, timely processing of shipping and receiving documentation, and support of inventory control processes within the reload facility.Over 100 years in business, the Arrow Group of Companies has led the way in developing service focused transportation solutions by working with a broad range of customers, hauling a wider variety of products, and expanding our presence throughout Canada and the United States. Arrow is an industry leading transportation, distribution and materials handling organization.The Chicago Reload is located in Franklin Park, IL., is approximately 6 acres in size and has 10 Railcar spots served by the CPKC Railway. We transfer product via forklift from truck to rail and/or rail to truck and also specialize in outdoor inventory management primarily of building materials, lumber, and steel.ResponsibilitiesInbound Freight CoordinationAccurately receive, inspect, and document incoming truck and rail freight shipmentsAssist with tracking inbound rail and truck shipments and provide updates to support operational planningCoordinate with carriers and suppliers to schedule deliveries and ensure timely receipt of goodsWork closely with the yard or reload team to organize and store incoming products efficientlyManage documentation, including bills of lading, customs paperwork, and other relevant shipping documentsOutbound Freight CoordinationAccurately prepare and process shipping documentation for outbound truck and rail freight (Truck or Rail Bills of Lading, Arrow's and or Customer documentation requirements)Assist with scheduling pickups and coordinating outbound shipments with carriersEnsure accurate and timely dispatch of products to customers or other destinationsMonitor and track outbound shipments, providing updates to internal teams and customersGeneralAssist with daily, weekly, and monthly inventory counts and help reconcile inventory records with shipping and receiving documentationInventory ManagementFollow established inventory and invoicing procedures and assist with maintaining accurate inventory records using Arrow's systems and technologyAssist with daily, weekly, and monthly inventory counts and help reconcile inventory records with shipping and receiving documentationEnter inventory transactions and shipment information into applicable systems accurately and in a timely mannerEnsure product inventory is moved as per customer requirements, i.e. FIFO for lumberReport any issues with respect to inventory age and/or integrityCommunication and CollaborationCommunicate effectively with carriers, suppliers, and internal teams to ensure smooth operationsCollaborate with various departments, including yard, office staff, reload personnel, and customers to meet customer requirementsAssist with responding to shipping-related inquiries and escalate issues as requiredCommunicate with the customers and ensure all proof of deliveries are scanned and emailedRelay all completed shipments, information of inbound/outbound received to the administratorReport any discrepancies or gaps in service to the supervisorOther ResponsibilitiesAssist with investigating missing documents, shipment discrepancies, delivery issues, and inventory concerns, escalating matters to the supervisor when requiredWork in accordance with all Arrow, safety and other applicable regulatory policies and proceduresProvide administrative and operational support related to forecasts, asset tracking, and equipment recordsOther duties as assigned by the Division ManagerYou PossessPreference will be given to those with relevant post-secondary education and/or relevant transportation industry experienceExperience supporting shipping, receiving, transportation, warehouse, or logistics operations is an assetProvide internal and external Customer Service excellenceStrong problem-solving skillsStrong organizational skills and attention to detailDemonstrates strong communication skills both verbally and writtenHighly flexible, with solid interpersonal skills that allow one to work effectively in a diverse working environmentComputer proficiency – Microsoft Suite with emphasis on Excel, experience with using relevant software and/or proven ability to learn and leverage proprietary software efficiently and effectivelyEmbodies Arrows Values: Safety, Teamwork, Responsibility, Quality, Integrity and Fun!Working ConditionsOvertime as requiredRequirement to work outdoors and in the elements as required
