The Proposal Writer plays a critical role in securing new enterprise business and retaining existing clients by crafting compelling responses to Requests for Proposal (RFPs), Requests for Information (RFIs), and similar formal sales documents.

This role requires strong writing skills, business acumen, strategic thinking, and creativity. The Proposal Writer collaborates across departments to develop persuasive, brand-aligned content that supports O.C. Tanner's sales objectives and win strategies.

Key Responsibilities

• Develop high-quality, compliant responses to RFPs, RFIs, and related documents.
• Collaborate with sales, marketing, product, and subject matter experts to define win strategies and key messaging.
• Contribute to proposal strategy, including proposal themes and executive messaging.
• Plan and integrate written content, visuals, and supplementary materials (e.g., videos, links) into proposals.
• Analyze RFP requirements, identify gaps, and draft clarifying questions.
• Identify response risks and support the development of mitigation strategies during the proposal process.
• Ensure all content aligns with brand guidelines and legal commitments.
• Synthesize complex or technical input into clear, concise, client-facing language.
• Maintain and update proposal content libraries; identify and fill content gaps.
• Support content standardization and knowledge sharing across the team.
• Use approved AI tools and resources to refine and enhance content.
• Track proposal progress from inception to submission, resolving issues proactively.
• Coordinate contributors and help drive proposal milestones from kickoff through submission.
• Stay current on O.C. Tanner offerings and industry trends.
• Support continuous improvement initiatives and participate in team training.
• Provide proofreading and peer reviewing of content for other team members.
• Conduct final quality checks to ensure content is polished, accurate, compliant, and submission ready.

Qualifications

• Bachelor's degree in business, English, communications, or related field.
• 1+ years of proposal writing or management experience.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint).
• Experience writing clear, persuasive, client-facing business communications.
• Ability to interpret requirements, tailor responses to specific audiences, and manage competing deadlines.
• Experience collaborating with cross-functional stakeholders and subject matter experts.
• APMP certification and training are a plus.
• Knowledge of HR, employee engagement, or management consulting is a plus.
• Experience with Responsive proposal software is a plus.
• SaaS industry experience is a plus.
