This role is non-exempt and works no more than 40 hours per week

Position Summary

The Program Associate serves as a key member of the Program Team and reports to the Senior Program Manager and fellow program associates to implement, coordinate, and continuously improve youth development programming for participants and families. This role combines youth engagement, family partnership, educational transition support, outreach, and program administration.

The Program Associate will play a lead role in supporting Fiver's Step Up to High School (SUTHS) Program, ensuring that all 7th and 8th graders participants and their families successfully navigate the New York City high school application process. The ideal candidate is highly organized, relationship-oriented, proactive, and committed to helping youth and families achieve their educational goals.

This position requires flexibility to support programming during school breaks, evenings, select weekends, and two to three visits to Camp Fiver annually.

Key Responsibilities

Program Implementation

• Coordinate and facilitate bi-monthly virtual hangouts for 3rd - 8th graders to promote participant engagement and community building.
• Collaborate with the Senior Program Associate to plan and facilitate monthly Teen Nights and seasonal participant engagement activities.
• Partner with the Senior Program Associate to coordinate and deliver Fiver's February Winter Recess Mini Camp and April Spring Break Mini Camp, including participant logistics and transportation support.
• Lead the planning and facilitation of school break programming (e.g., Martin Luther King Jr. Day, Indigenous Peoples' Day, etc) in collaboration with the Senior Program Associate.
• Support the planning, coordination, and facilitation of Fiver's Job Training Program, Internship Program, and Investment Camp
• Facilitate workshops and activities that promote social-emotional learning, leadership development, career readiness, and community building.
• Build meaningful relationships with youth and families through consistent communication, engagement, and individualized support.

Educational Support & High School Transition Services

• Lead and coordinate Fiver's Step Up to High School (SUTHS) Program by developing the annual admissions support plan and overseeing the application process for all eligible 8th grade participants.
• Conduct outreach to 7th and 8th grade participants and families to assess their needs, and provide individualized support through meetings, workshops, and ongoing communication
• Help students identify and apply to high schools aligned with their interests, strengths, and educational goals.
• Maintain tracking systems, monitor application timelines and NYC DOE deadlines, document participant engagement and outcomes, and preparing reports as needed
• Ensure all eligible participants successfully complete the admissions process or have confirmed school-based application support.
• Collaborate with staff, families, schools, and community partners to provide workshops, family engagement opportunities, and coordinated support that promotes successful transitions to high school
• Maintain current knowledge of NYC high school admissions policies and processes

Outreach & Family Engagement

• Conduct outreach to participants and families regarding programs, events, workshops and opportunities
• Build positive relationships with parents, guardians, schools and community partners
• Support family engagement initiatives designed to strengthen communication and participation throughout the year.
• Represent Fiver at community events, school meetings and partner meetings as requested

Administrative & Documentation

• Maintain accurate and timely participant records and program documentation, including attendance, engagement data, case notes, and participant information
• Track participation, engagement trends, participant outcomes, and prepare reports to support program evaluation and improvement
• Coordinate registration, communications, logistics, follow-up activities, and other administrative processes are completed accurately and on time.

Qualifications

• Bachelor’s degree or equivalent experience preferred
• Minimum 2 years of experience working with youth, families or educational programs
• Experience facilitating workshops, youth programs or family engagement initiatives
• Strong organizational and project management skills with exceptional attention to detail
• Ability to manage multiple timelines, deadlines and participant needs simultaneously
• Strong relationship building skills with youth, families, schools and community partners
• Excellent verbal and written communication skills
• Ability to work independently while collaborating effectively in a team
• Familiarity with NYC public school systems, high school admissions or educational advising preferred
• Spanish proficiency highly desirable

Schedule & Expectations

The Program Associate will primarily work from Fiver's New York City office and is expected to work a regular schedule of 11:00 AM–7:00 PM from September through May and 9:00 AM–5:00 PM from June through August.

Due to school breaks, workshops, participant activities, and seasonal programming, the schedule may occasionally shift to 9:00 AM–5:00 PM during the school year. Advance notice will be provided.

The Program Associate should be available to work 1–2 Saturdays per month, as needed, to support program activities, family engagement events, and other special programming.
