JOB TITLE: Financial Aid Programs Coordinator JOB PURPOSE: Coordinates the administration and processing of federal, state, and institutional financial aid programs to ensure accurate awarding, eligibility review, and compliance with applicable regulations and institutional policies. Manages assigned program workflows, resolves student file issues, processes reports and certifications, and supports scholarship and aid fund utilization. Collaborates with campus partners and external agencies or donors to facilitate the timely and accurate delivery of financial aid services while maintaining a high level of attention to detail, confidentiality, and customer service. ESSENTIAL DUTIES AND RESPONSIBILITIES: Coordinate, administer and process assigned financial aid programs, (E.g., verification, loans, scholarships, work study) including awarding, eligibility determination, and maintenance of program records; ensure timely and accurate execution of program requirements across multiple funding sources; maintain consistent application of established policies and procedures; recommend program/system enhancements or modifications; prepare forms, reports, or other program/system documents. Review program-specific reports (Pell enrollment, verification tracking, Housing discrepancy, Federal Work Study payments, ISIR data, Federal Processing System C-Flags, National Student Loan Data System monitoring); evaluate documentation; communicate with students and resolve issues in compliance with federal and institutional guidelines; ensure accurate updates in student information systems; make recommendations related to state and other scholarship budget projections and assist in budget preparation. Counsel students, parents and/or system users on designated policies, procedures, and processes; perform and supervise forms processing for applicable program/system; maintain records, statistics and/or user documentation or manuals for student information systems. Prepare written communications, including reports which may be necessary to communicate program/system information, procedures, or changes. Stay abreast of all legislation, regulation and other policy changes related to designated programs. Perform research and analysis to resolve problems and/or issues and recommend solutions to supervisor, or solve problematic issues and keep supervisor advised, as directed. May implement, administer, and assist with maintaining requirements for the UW Scholarship System; assist with the management, assessment and cycling of system; test system updates for compliance; review data processes for accuracy. Identify inefficiencies or recurring issues in processes; Support compliance efforts by following established procedures and timelines; Assist with audits or internal reviews as needed. Respond to student and campus partner inquiries via phone, email, and in-person interactions. Provide guidance on financial aid processes, eligibility, and next steps, referring complex or sensitive situations to senior staff as appropriate. Develop working knowledge across multiple financial aid programs to provide backup support and ensure timely continuity of operations (consortium agreements, budget adjustments, transcript hold follow-up, and eligibility verification). Coordinate with internal partners and other institutions as needed to ensure timely processing and appropriate awarding adjustments. Assist with documenting procedures and updating internal resources. SUPPLEMENTAL FUNCTIONS: Perform miscellaneous job-related duties as assigned. Attend and participate in training and other professional development activities. Represent Student Financial Services and assist in the development of new staff training. Bachelor’s degree or equivalent combination of education and experience Experience:

2 years work-related experience Required licensure, certification, registration, or other requirements: Valid driver's license with a motor vehicle record (MVR) compliant with the Driving for University Business SAP. Experience Evaluation Minimum experience requirements are evaluated on a full-time equivalent (FTE) basis. Relevant part-time experience will be prorated based on hours worked. For example, two years working an average of 20 hours per week is equivalent to approximately one year of full-time experience. Applicants must include the average hours worked per week for all current and previous positions. Failure to provide this information may affect the evaluation of qualifications.
