Office Manager - Naval Reactors External Affairs Division- Washington, DC

Office ManagerThe Naval Reactors External Affairs Division is seeking an organized, proactive, and mission-oriented Office Manager to support the Division Director and a team of approximately 15 professionals. Must possess an active U.S. Department of War (DoW) Top Secret security clearance or Department of Energy Q security clearance. This is a full-time on-site position. The Office Manager will coordinate daily administrative operations, manage the Director's schedule, maintain official records, support personnel and timekeeping processes, and help ensure the office operates efficiently. The ideal candidate brings a positive attitude, strong attention to detail, sound judgment, and a willingness to identify and implement better ways of working. Training will be provided for office-specific systems and processes.In this role, you will:Manage the Division Director's calendar, appointments, meetings, and schedule.Coordinate official travel arrangements and process travel claims.Prepare, issue, mail, and file official correspondence.Process and maintain timekeeping information.Organize and manage official records in accordance with applicable requirements.Maintain personnel files and track human resources actions.Keep office supplies stocked and coordinate with facilities and information technology personnel to maintain physical and digital office systems.Answer and route telephone calls, helping senior staff communicate effectively with the office.Identify and implement process improvements that enhance office efficiency and effectiveness.Prepare reports related to the Division's performance and commitments, as requested.Perform other duties as assigned.To be successful in this role, you will have:Must possess an active DoW Top Secret security clearance or Department of Energy Q security clearance.High School diploma with minimum 5 years of experience with at least one year of experience in a secretarial, administrative professional, office support, or comparable professional role.Strong organizational and time-management skills.Ability to manage multiple priorities with accuracy and attention to detail.Effective written and verbal communication skills.Ability to handle sensitive information with professionalism and discretion.Desired Attributes:Positive, professional, and service-oriented attitude.High energy and initiative.Commitment to supporting the mission.Collaborative approach and willingness to assist others.Interest in innovation and continuous process improvement.Dependability, adaptability, and sound judgment.Prior NAVSEA, Naval Reactors, or U.S. Naval Submarine service experience is a plus.Experience with the Defense Travel System (DTS).Experience with the Defense Information System for Security (DISS) and managing Visit Access Requests (VARs).Bachelor's degree is preferred.If you feel your skillset is a match to the requirements, then you should be ready to take the next step of your career path, apply today!
